Job description
The Systems Administration Manager is responsible for overseeing the day-to-day administration, coordination and support functions of the Systems Division. The role ensures efficient engineer scheduling, effective contract administration, regulatory compliance, supplier performance management, and the delivery of accurate operational reporting. Working closely with engineers, customers, suppliers and management, the post holder will help maintain high service standards, operational efficiency and compliance with industry requirements., * Coordinate and manage engineer scheduling for installations, maintenance visits, reactive call-outs and project works.
- Administer customer contracts, ensuring service agreements, renewal dates and obligations are accurately maintained.
- Maintain NSI, SSAIB and other compliance records, ensuring documentation is up to date and audit ready.
- Manage supplier relationships, including performance monitoring, quotations, procurement support and compliance documentation.
- Produce operational reports and monitor service performance, KPIs and SLAs across the division.
- Maintain accurate data and records within company systems and databases.
- Support operational planning and resource allocation to ensure efficient service delivery.
- Identify and implement process improvements to enhance efficiency, compliance and customer service.
- Lead and develop the Systems Administration team, ensuring high standards of performance and accountability.
- Act as a key administrative link between customers, engineers, suppliers and management.
Requirements
- Previous experience within the security systems, fire, electrical or technical services industry.
- Knowledge of NSI, SSAIB or other industry accreditation requirements.
- Experience using service management, scheduling or field service software.
- Strong understanding of engineer scheduling and resource planning.
- Experience administering maintenance contracts and service agreements.
- Previous responsibility for supplier or subcontractor management.
- Experience producing performance reports, KPIs and management information.
- Advanced Microsoft Excel and reporting skills.
- Experience managing or supervising an administration or coordination team.
- Understanding of service level agreements (SLAs) and customer performance measures.
- Experience supporting audits and maintaining compliance documentation.
- Ability to identify process improvements and implement more efficient ways of working.
- Knowledge of stock control, procurement and purchasing processes.
- Strong commercial awareness and customer service focus.
- Project coordination or implementation experience., * Do you have experience scheduling field-based engineers or service technicians?
