Job description

The Sixth Form Administrator / Pastoral Support & T Level Employer Engagement Lead will provide high-quality administrative and pastoral support to the Sixth Form, while leading the coordination of employer engagement and industry placement opportunities for students undertaking T Levels.

The postholder will work closely with the Head of Sixth Form, senior leaders, teaching and pastoral staff, students, parents/carers, employers and external organisations to ensure that Sixth Form students receive effective support and that T Level students are successfully prepared for and supported in their industry placements.

The role requires an organised, proactive and approachable individual who can build strong relationships with young people and external employers while managing a range of administrative responsibilities., 1. Sixth Form Administration

  • Provide efficient day-to-day administrative support to the Sixth Form.
  • Maintain accurate and up-to-date Sixth Form student records and databases.
  • Support Sixth Form admissions, enrolment and induction.
  • Maintain records relating to attendance, progress, pastoral support and student destinations.
  • Prepare letters, reports, spreadsheets, presentations and other documentation.
  • Support the organisation of Sixth Form events, assemblies, parents’ evenings and information evenings.
  • Arrange meetings and appointments for the Head of Sixth Form and relevant staff.
  • Take minutes and maintain records of meetings where required.
  • Respond professionally to routine enquiries from students, parents/carers and external organisations.
  • Maintain appropriate filing systems and ensure confidential information is handled securely.
  • Liaise with other departments to ensure Sixth Form processes operate effectively.
  1. Pastoral Support * Provide day-to-day pastoral support to Sixth Form students. * Act as a key point of contact for students regarding attendance, engagement, wellbeing and general pastoral matters. * Monitor student attendance and punctuality and identify concerns requiring follow-up. * Contact students and parents/carers regarding attendance and pastoral concerns. * Maintain accurate records of pastoral interventions. * Work closely with Head of Sixth Form. * Support students experiencing barriers to attendance, engagement or successful progression. * Escalate safeguarding and welfare concerns through the appropriate school procedures. * Support students with organisation, time management and meeting Sixth Form expectations. * Assist in monitoring students who may be at risk of disengagement. * Promote high standards of attendance, behaviour and conduct. * Support enrichment, personal development and careers activities.

  2. T Level Employer Engagement Lead * Lead and coordinate employer engagement for T Level students. * Develop and maintain positive relationships with employers, businesses and industry partners. * Identify suitable employers and organisations capable of providing high-quality industry placements. * Make initial contact with prospective employers and explain the school’s T Level requirements. * Maintain an up-to-date database of employer contacts and placement opportunities. * Match students with appropriate employers, considering their course, skills, interests and career aspirations. * Coordinate employer meetings, visits, interviews and placement arrangements. * Prepare students for employer engagement and the workplace. * Support students with professional communication, CVs, applications and interview preparation. * Liaise with curriculum staff to ensure placements complement students’ T Level programmes. * Maintain regular contact with employers throughout placements. * Monitor student progress and engagement during placements. * Obtain feedback from employers and students. * Identify and address any placement concerns promptly. * Develop long-term relationships with employers to increase opportunities for future students.

  3. T Level Industry Placement Administration * Coordinate the administrative arrangements for T Level industry placements. * Maintain accurate records of student placements, attendance and hours completed. * Ensure relevant placement documentation is completed within required timescales. * Support appropriate checks and compliance procedures. * Track placement hours and identify students at risk of not completing their placement requirements. * Liaise with employers, students, parents/carers and staff regarding placement arrangements. * Monitor placement progress and maintain records of employer feedback. * Support students with practical issues arising during placements. * Provide regular updates to the Head of Sixth Form and relevant curriculum leaders. * Produce reports and information relating to T Level employer engagement and placements.

  4. Careers and Student Progression * Support students in preparing for employment, apprenticeships, university and other post-18 destinations. * Support careers fairs, employer talks, work experience and enrichment activities. * Develop links with employers and organisations that can provide opportunities for students. * Promote apprenticeships, employment opportunities and industry pathways. * Support students in developing employability and workplace skills. * Assist with CVs, applications and interview preparation. * Support destination tracking and maintain accurate progression records.

  5. Communication and Stakeholder Engagement

The postholder will establish effective working relationships with:

  • Sixth Form students
  • Parents and carers
  • Head of Sixth Form
  • Curriculum and T Level staff
  • Careers staff
  • Employers and industry partners
  • Training providers
  • Further and higher education providers
  • External agencies

The postholder will communicate professionally and represent St Aloysius College positively when dealing with external organisations.

  1. Safeguarding and Student Welfare * Follow St Aloysius College safeguarding and child protection procedures at all times. * Report safeguarding concerns promptly to the appropriate member of staff. * Maintain appropriate professional boundaries with students and external organisations. * Maintain confidentiality and comply with data protection requirements. * Follow relevant health and safety procedures when organising workplace activities and placements. * Promote a culture in which students feel safe, respected and supported.

  2. Monitoring, Data and Reporting * Maintain accurate and confidential student records. * Monitor attendance, engagement and placement participation. * Produce reports for the Head of Sixth Form and senior leaders as required. * Maintain accurate employer and placement databases. * Record information promptly on relevant school systems. * Contribute to reviews of Sixth Form performance and T Level placement outcomes., * Comply with all St Aloysius College policies and procedures. * Maintain confidentiality at all times. * Promote equality, diversity and inclusion. * Contribute positively to the ethos and values of the College. * Undertake relevant training and professional development. * Participate in meetings as required. * Undertake other reasonable duties appropriate to the level and nature of the post. * Promote the safeguarding and welfare of children and young people. * Ensure that all work is undertaken in accordance with relevant legislation and College procedures.

Pay: £32,725.52 per year

Requirements

  • Experience of working in an administrative, pastoral, educational, careers or student-support environment.
  • Experience of maintaining accurate records and databases.
  • Experience of communicating with a range of stakeholders.
  • Understanding of the needs of young people aged 16-19.
  • Strong organisational and administrative skills.
  • Experience of handling confidential information appropriately.
  • Ability to prioritise competing demands and meet deadlines., * Excellent written and verbal communication skills.
