Job description

This role involves providing operational support to the South Lincs Rural Primary Care Network, Operations Manager, Clinical Director, Senior PCN Administrator to deliver the NHS England Primary Care Network DES, and to help prepare and organise the Network to fulfil future ambitions.

This is a permanent Post.

Working closely with the Operations Manager, Clinical Director, Senior PCN Administrator and, the post holder will provide administrative support to these posts and the wider PCN team including the specialist neighbourhood nurses. The role will require collaboration across local health and social providers and stakeholders including third sector groups, particularly as the PCN looks to establish strategic partnerships with the wider Lincolnshire system.

This role requires strong operational skills and NHS Primary Care experience. This is a great opportunity for the right person to support us with the continued growth and development of the Network.

Main duties and responsibilities

Support Allied Health South Lincolnshire Ltd (AHSL) in the administration of the contractual requirements of the NHSE DES contract.

Support the Operations Manager/Clinical Director with diary management and coordinate meetings for other leads across the PCN.

Organise, prepare agendas, take minutes and update the action log at PCN and Allied Health South Lincolnshire Ltd (AHSL) Board meetings.

Book meetings as required.

Update and add articles/policies to Clarity Team net.

Manage all relevant generic mailboxes that are linked to the Specialist Neighbourhood nurses (SNNs) team.

Working closely with the PCN, to manage PCN collaborative approach to delivery of spring/autumn/winter COVID campaigns through creation and monitoring of vaccination master plan and undertaking stock ordering, stock checks and stock waste to update NHS England Federated Data Platform. Maintain a good working relationship with the Locality Lead Vaccinations and Vaccine & Logistic Support Officer at the ICB.

Coordinate Meetings for Operations Manager and send out invitations utilising shared calendars.

Organise the Neighbourhood team Multi-disciplinary Team meetings and send invites to all relevant people so they can attend. Arrange quarterly face to face MDT’s and arrange suitable venue - book rooms if required.

Update Virtual Multi-disciplinary Team (vMDT) system prior to the meetings.

Support Training lead to ensure that AHSL staff are compliant with all Bluestream training by monitoring compliance with mandatory training on a monthly basis.

Build key relationships with practices and partner organisations, acting as day-to-day point of contact for queries.

Provide administrative support to the personalisation lead with the Social Prescribing and Personalisation teams, booking rooms and venues for meetings/events.

Manage updates to National Workforce Reporting Service (NWRS) - adding new employee information and deducting employees when they join/leave AHSL employment.

Add new personal to NHS Pension scheme, updating any new information to the NHS website.

Dealing with any NHS Pension queries from staff.

Issuing forms for retirement/ partial retirements forms to staff and working with the Finance Manager to ensure they are correct before submitting them online.

Closing any NHS pension files for personal who have left.

Coordinate and submit a monthly Enhanced Access report to the ICB and liaise with Practices, Clinical Director and Chairman of the Board to ensure this information is received by 7th of the month.

Work with Operations Manager to process any employee visa requests through the UK Visa and Immigration Service.

In the absence of the Senior PCN Administrator, take on additional responsibilities to cover work as required.

Process new starter DBS checks

Process new starters/leavers onto Orbis (Lone Worker App)

Clinical Governance and confidentiality

Observe and maintain strict confidentiality with regards to any data/information in line with the Data Protection Act and the General Data Protection Regulations (GDPR).

Undertake mandatory training and any other training relevant to the role as required by AHSL.

General

The post holder must at all times carry out his/her duties with regard to AHSL equal opportunities policy.

All new employees to AHSL are subject to the completion of a satisfactory six month probation period.

Requirements

Do you have a valid Driving License license?, Do you have experience in Organizational skills?, Do you have a GCSE?, * Educated to GCSE level or equivalent in Maths and English, * Experience of taking, producing and distributing formal minutes
