Job description

  • Monitor, prioritise and manage the practice’s generic email inboxes throughout the day, ensuring all emails are reviewed, allocated and actioned promptly and cleared in a timely manner before the end of each working day.
  • Respond to patient and healthcare professional enquiries, liaising with clinicians where necessary to ensure timely and appropriate responses.
  • Work with our DOCMAN team to with the organization of electronic and paper-based documents using Docman system, triaging the documents, coding, and accurately file patient’s clinical correspondence and other documents, ensuring all actions are completed in accordance with practice protocols. Update patient record accurately, including coding clinical information such as new diagnosis, blood pressure readings, ECGs, vital checks, phlebotomy results and other relevant data from clinical correspondence.
  • Identify any support need for patients, outstanding reviews, monitoring requirements, investigations and follow-up actions from clinical correspondence, arranging appointments or signposting tasks to the appropriate member of the team.
  • Contact patients to arrange annual reviews, long-term condition monitoring and follow-up appointments, coordinating multiple outstanding reviews wherever possible to improve efficiency and patient care.
  • Complete administrative actions assigned by clinicians, ensuring work is carried out efficiently and within agreed timescales.

Requirements

  • Experience in working at GP surgery and ability to understand workflow processes at a GP practice setting
  • Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Excellent communication skills in English
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with IT systems DOCMAN and EMIS
  • Attention to detail and accuracy in managing records and documentation
  • Ability to adapt quickly to new technologies and process improvements

Pay: From £14.00 per hour

Expected hours: 30.0 per week
