Job description

We are recruiting one owner for the VisualFactory documentation function. It is currently kept up by two part-time contributors, one of whom is shortly starting a year of maternity leave. This is fixed-term cover for that period, but we want someone who treats the documentation as their own and builds it into a coherent, maintained and genuinely useful body of knowledge, rather than simply holding the line.

The defining feature of this role is that you will make generative AI central to how documentation is produced. This is not the occasional sentence polish. You will design AI into the workflow to draft faster, hold consistency, keep pace with releases and raise quality, while applying the human judgement that keeps technical content accurate. In an MES, a confidently wrong instruction has real consequences in a live production environment, so getting an excellent first draft out of a model and reliably catching what it gets wrong matter equally.

What you will own

  • Functional documentation: how the software works, including features, configuration options, screens, behaviours and the concepts behind them.
  • Process documentation: practical, use-case-driven guidance on using VisualFactory to solve specific problems and achieve real outcomes on the shop floor.
  • Release notes: concise, well-structured notes for each release that explain what has changed, what is new, and what users and implementers need to know.

Over time this may extend to onboarding material, configuration guides, API and integration documentation, training content and a searchable knowledge base.

What you will do

  • Take end-to-end ownership of VisualFactory documentation: its structure, accuracy, quality and upkeep.
  • Set and maintain a clear information architecture and style guide so the documentation is consistent and easy to navigate.
  • Design and run an AI-augmented documentation workflow, building the review process that keeps the output accurate.
  • Develop reusable prompts, templates and lightweight automation that turn source material, such as developer changelogs, tickets, specifications and recorded sessions, into high-quality first drafts.
  • Work closely with developers, product, implementation, support and sales to capture knowledge and validate technical accuracy.
  • Define and report on what good documentation looks like: coverage, freshness, usefulness and adoption.

Requirements

Do you have experience in GitHub?, * Demonstrable experience as a technical writer or documentation specialist, ideally for B2B, enterprise, industrial or otherwise complex software.

  • Hands-on experience using generative AI tools (for example Claude, ChatGPT or GitHub Copilot) as part of a real working process, with concrete examples of how it improved speed or quality.
  • Strong prompting skills, and the editorial judgement to review AI-generated content critically, identify inaccuracy and ambiguity, and correct it.
  • The ability to understand a technical system and translate it into clear, accurate documentation for audiences from operators through to engineers.
  • Outstanding written English and a strong sense of structure and clarity.
  • Self-directed and well organised, comfortable owning a function and setting your own priorities.

Nice to have

  • Knowledge of MES, ERP, manufacturing or industrial software domains.
  • Docs-as-code experience: Markdown or similar markup, Git, and documentation platforms such as Docusaurus, GitBook, Confluence, MadCap Flare or Paligo.
  • Experience building AI-assisted documentation pipelines or automations, for example generating draft release notes from commit history, or retrieval-based answers over product content.
  • API or integration documentation experience.
  • Visual documentation skills: diagrams, annotated screenshots, screen recordings and short instructional video.

Comfort working across UK and US time zones and audiences
