Job description

Office & Data Document Administrator - to carry out all controlled documentation in respect of our vehicle accreditation and general administrative duties and communicate your daily workloads with our Office Management team.

Support the Group’s logistic operation.

To perform and execute any instructions or other reasonable requests given by office management or senior management team.

Comply and update Health & Safety legislation as required.

Responsibilities

  • Control our second stage manufacturing accreditation
  • Carry out audit to ensure we are compliant
  • Control and update our hazardous goods documentation
  • Dual responsibility for daily office management
  • Liaise with all departments & their third-party service to determine required vehicle lead-times and deadlines.
  • Working with the Office Management team creating daily production reports.
  • Ensure computer systems are updated with vehicle details and data.
  • Carry out general office administration duties.
  • Liaising with Transport allocator regarding load vehicles
  • Deal with all phone enquires in a polite and professional manner
  • Provide support to Office Management team

Requirements

Do you have experience in Phone etiquette?, Do you have a GCSE?, * Basic knowledge on controlling documentation

  • Telephone etiquette essential
  • Communication skills between internal and external clients and departments
  • Basic understanding of Health & Safety legislation
  • PC skills in Microsoft Excel, Word and cloud base systems
  • Presentation of power-point and statistics
  • GCSE - English, Maths and IT skills

Desirable characteristics

  • Positive, flexible approach and good interpersonal and communication skills.
  • Ability to prioritise workloads to achieve required deadlines.
  • High level of accuracy and attention to detail.
  • Able to always maintain the strictest confidentiality and security of conversations and documentation.

  • Can conduct tasks with little or no supervision after training.
