Job description

  • Coordinate all required elevator testing and inspections, including scheduling with customers, mechanics, inspectors, and applicable authorities having jurisdiction (AHJs).
  • Maintain an accurate testing schedule and ensure required tests are completed within applicable deadlines.
  • Coordinate annual, periodic, acceptance, and other required elevator testing.
  • Track testing results, deficiencies, violations, and required repairs through completion.
  • Communicate testing requirements, schedules, and results to customers and internal teams.
  • Coordinate mechanics and subcontractors needed to complete testing and corrective work.
  • Ensure required documentation, test reports, inspection reports, and certificates are completed and maintained accurately.
  • Monitor upcoming testing deadlines and proactively identify potential scheduling conflicts or compliance issues.
  • Follow up on failed tests, violations, and outstanding repairs to ensure timely resolution and retesting.
  • Maintain accurate records in the Company’s systems and provide regular status reports to management.
  • Work with field personnel to ensure they understand testing requirements and are prepared for scheduled inspections.
  • Assist with obtaining permits, scheduling inspections, and coordinating with local municipalities and inspectors as needed.
  • Review testing documentation for completeness and accuracy before submission.
  • Escalate testing delays, compliance concerns, customer issues, or safety concerns to management.
  • Maintain confidentiality of customer and Company information.
  • Perform service ticket and time ticket reconciliations.
  • Create work orders and service activities. General dispatching and service duties as needed.
  • Answer, screen and direct calls from general line.
  • Assist with accounts receivable and collection efforts by contacting delinquent accounts and collecting same day payments.
  • Create quotes and proposals within CRM system and timely and accurately update logs
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • 2+ years of experience in the elevator industry, preferably in testing, service, inspections, or operations.
  • Knowledge of elevator testing and inspection requirements preferred.
  • Familiarity with local and state elevator codes and AHJ requirements preferred.
  • Strong organizational and scheduling skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and follow-through.
  • Ability to manage multiple testing schedules and deadlines simultaneously.
  • Proficiency with Microsoft Office and the ability to learn Company software and systems.
  • Ability to work effectively with field mechanics, customers, inspectors, and management.
  • Ability to prioritize work and meet deadlines in a fast-paced environment., * This is a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand, as necessary.
