Business Intelligence (BI) Analyst

In this role, you will act as the master administrator of our JobDiva ATS, utilizing its data capabilities to drive compliance and team accountability. You will also oversee multi-state registrations, monitor vendor portals for newly released SLED requirements, coordinate RFP responses, and optimize our timesheet-to-invoicing data pipelines., Advanced JobDiva Management & Data Analytics

• ATS Administration: Act as the gatekeeper for JobDiva, enforcing total data integrity, clean record architecture, and strict adherence to internal workflows.
• Recruiter Auditing: Run daily activity reports to ensure recruiters update candidate statuses, contact logs, and submission records on a strict schedule.
• Data Analysis & Reporting: Build custom JobDiva dashboards to analyze recruitment metrics, track submittal-to-hire ratios, and identify bottlenecks in our fulfillment pipeline.

State Compliance & Registrations

• Multi-State Registrations: Coordinate and maintain business registrations, and certificates of good standing across various US states to ensure compliance for SLED projects.
• Compliance Tracking: Proactively monitor state-specific deadlines for socio-economic filings and registrations.

Timesheet Management & Accounting Support

• Hours Auditing: Track and collect weekly timesheets from deployed contractors across multiple SLED client portals.
• Invoicing Preparation: Map approved timesheet data against JobDiva records to generate comprehensive, error-free monthly summaries for the accounting department.

Operation Management:

• Complete other professional duties assigned to support company operations

SLED RFP Management & Proposal Coordination

• Portal Monitoring: Daily audit of state, local, and education procurement portals to identify, track, and download newly released RFPs and vendor requests.
• Proposal Coordination: Maintain the RFP calendar, organize compliance documentation, gather past performance details, and compile necessary credentials to ensure timely bid submissions.
• Requirement Translation: Review SLED solicitations to extract labor categories, qualifications, and pricing constraints, converting them into actionable metrics for the recruiting team.

• Experience: 5+ years of backend operational experience in the US staffing industry, with a direct focus on SLED or federal government projects.
• ATS Mastery: Advanced, power-user expertise in JobDiva is strictly required, including experience with its data extraction and custom reporting tools.
• RFP Competency: Proven track record in proposal coordination, documentation assembly, and tracking government procurement lifecycles.
• Analytical Skills: Strong data analytics background with advanced Microsoft Excel capabilities (VLOOKUPs, Pivot Tables) to synthesize complex system reports.
• Operations & Schedule: Exceptional communication skills and the ability to work independently and within team setting.
