Job description
We’re looking for a numbers person who’s also an automation person. You’ll own our financial reporting, bookkeeping, invoicing, commission calculations, strategic decision making, and financial coaching - and just as importantly, you’ll use modern AI tools to build the workflows, dashboards, and auto-invoicing that let a small company run efficiently and preserve your time to support strategic decisions.
This is a hands-on role in a small company. You’ll work directly with the COO and have real ownership over how our finances are run and reported.
What you’ll own
- Financial reporting - monthly P&Ls by division (roastery, franchise, wholesale, retail), clean and on time, so leadership can actually make decisions from them.
- Bookkeeping - manage and review the books
- Commission calculations - run monthly sales commissions across our machine, coffee, and green-coffee programs accurately and on schedule.
- Invoicing- process invoices for franchisees and vendors
- AI-driven automation - build and maintain automated workflows for invoicing, reporting, and reconciliation using AI and modern tools, so routine work runs itself.
- Reporting dashboards - stand up live dashboards (revenue, margin, cash, commissions) that give the team real-time visibility.
- Systems & light tech - be the go-to for our financial stack (QuickBooks, Toast/POS, Shopify, payroll) and how the pieces connect.
- Light HR / admin - support onboarding, contractor paperwork, and basic HR as needed (a few hours a month, not a full-time load).
Requirements
- Solid bookkeeping/accounting foundation - you understand a P&L, a balance sheet, accruals, and how to close a month.
- Genuinely AI- and tech-savvy - you’ve used tools like Claude, automation platforms (Zapier/Make), or similar to actually build something that saved time, not just experimented.
- Comfortable in QuickBooks and spreadsheets at a real level (formulas, models, clean structure).
- Accurate, organized, and self-directed - in a lean company, you catch your own errors.
- Clear communicator who can turn numbers into something a non-finance person can act on.
- Experience in coffee, food & beverage, franchising, or multi-entity accounting.
- Payroll, sales tax, or multi-state compliance familiarity.
- Minimum 2 years of experience as a senior financial analyst.
Benefits & conditions
Full-time · Hybrid · ~$50,000 - 60,000/year + performance bonus, * Base: ~$50,000 - 60,000/year, commensurate with experience.
- Efficiency bonus: This role is expected to save the company money by building smarter, automated systems. You’ll have the opportunity to earn performance bonuses tied to the documented, sustained savings you create - for example, by automating manual work, reducing processing or software costs, or streamlining our books with AI-driven workflows.
- Room to grow: Compensation grows with the role - especially for someone who takes on leadership and helps drive performance across the system.
Pay: $50,000.00 - $60,000.00 per year
Benefits:
- Employee discount
- Flexible schedule
- Health insurance
- Paid time off
- Professional development assistance
- Work from home
