Job description
The CRM & Development Systems Manager serves as the primary owner and administrator of the organization’s patron and donor database, leading the transition from Spektrix to Tessitura while ensuring continuity, integrity, and strategic use of data across the organization.
This role sits at the intersection of Development, Marketing, and Finance - supporting fundraising initiatives, marketing support, and organizational decision-making through data management, reporting, and system optimization. The manager will act as both system subject matter expert and project lead, driving the successful implementation of Tessitura while maintaining current systems during the transition period.
What you’ll do at Stages

Lead the planning, coordination, and execution of the organization’s transition from Spektrix to Tessitura, serving as primary project manager and internal subject matter expert.

Define system requirements, workflows, and timeline in partnership with internal stakeholders and external vendors.

Oversee data migration, validation, and testing to ensure accuracy, completeness, and continuity of patron and donor records.

Develop and maintain documentation, workflows, training materials, and data standards to support consistent system use, scalability, and cross-departmental adoption.

Support Tessitura onboarding, including system configuration, user setup, and rollout across departments.

Manage Tessitura release cycles, upgrades, and new feature adoption post-implementation.

Serve as primary CRM administrator, overseeing system optimization, database integrity, data governance, and ongoing data hygiene practices.

Coordinate with external vendors or contractors as needed for system maintenance, upgrades, and issue resolution.

Design and deliver standard, ad hoc, and custom reporting tools, including dashboards, output sets, and data extracts to support organizational decision-making.

Build and manage audience segmentation, lists, and data extracts for campaigns, appeals, and patron communications.

Translate data into actionable insights that inform fundraising strategy, sales performance, and audience engagement.

Maintain tracking tools for revenue, campaign performance, and fundraising progress.

Partner with Development Director to support Annual Fund, campaigns, and moves management initiatives.

Oversee gift processing workflows including entry, pledge tracking, acknowledgments, and donor record management.

Support campaign setup in Tessitura, including appeals, funds, and donor segmentation
strategies.
- Manage donor benefit tracking and fulfillment in coordination with Patron Services and
Marketing.

Prepare targeted lists, mailings, and reporting to support fundraising and marketing communications and campaigns.

Provide CRM and administrative support for events, including donor stewardship events and annual gala.

Support and optimize Tessitura’s e-commerce functionality, including ticketing pathways, online giving, pricing logic, offers, campaign tracking, and patron-facing purchase and donation experiences.

Collaborate with internal stakeholders, external vendors, and digital partners to troubleshoot issues, support integrations, and maintain a seamless online customer journey across ticketing and donation platforms.

Support reporting, analysis, documentation, and ongoing enhancement of e-commerce
operations and digital system integrations.

Requirements
Do you have experience in Software implementation?, * 3-5+ years of experience administering a CRM system, with Tessitura experience strongly
preferred.
- Demonstrated experience leading or supporting a CRM implementation or data migration
project.

Experience working in nonprofit arts, cultural institutions, or membership-based organizations preferred.

Proficiency in database management, reporting, and data analysis (SQL/SSRS experience a plus)

Strong understanding of fundraising operations, donor lifecycle, and campaign management.

Advanced skills in Excel and data manipulation.
