Job description

We are seeking an experienced IT Vendor and Asset Coordinator for a 12-month 1099 contract opportunity. This role will support IT vendor management, contract tracking, software licensing, procurement coordination, IT asset management, inventory reconciliation, spend reporting, and documentation., The ideal candidate will have strong experience managing vendor contracts, tracking hardware and software assets, maintaining audit-ready records, supporting purchasing decisions, and working closely with IT, finance, procurement, legal, vendors, and business stakeholders. This role requires strong attention to detail, advanced Excel skills, strong communication, and the ability to manage multiple priorities in a fast-paced environment., * Manage and track IT vendor contracts, software licensing agreements, warranties, and maintenance contracts throughout their lifecycle.

  • Support vendor relationship management, including vendor communication, performance monitoring, negotiation support, issue resolution, and escalation coordination.
  • Track hardware and software assets from procurement through deployment, usage monitoring, reconciliation, lifecycle planning, disposal, recycling, resale, or retirement.
  • Maintain accurate IT asset records, inventory records, licensing documentation, warranty records, purchase history, and audit-ready asset data.
  • Use Microsoft Excel for data analysis, spend tracking, asset reconciliation, reporting, dashboards, management summaries, and audit-ready records.
  • Support procurement and purchasing activities, including identifying volume purchasing opportunities, reviewing ROI, evaluating total cost of ownership, and supporting contract negotiation decisions.
  • Monitor, analyze, and report IT spending trends, inventory costs, vendor costs, software licensing costs, and purchasing data.
  • Identify cost-saving opportunities, underutilized assets, duplicate spend, licensing gaps, renewal risks, and procurement improvement areas.
  • Develop, document, and maintain internal policies and procedures for vendor management, asset tracking, procurement documentation, and mobile device sign-in/sign-out processes.
  • Generate, distribute, review, and maintain management reports related to vendors, contracts, assets, purchases, spend, licensing, inventory, and compliance.
  • Maintain accurate and auditable records in the CMS repository.
  • Communicate asset management strategies, purchasing recommendations, vendor updates, spend findings, risks, and process improvements to leadership and cross-functional teams.
  • Analyze procurement, asset, vendor, and inventory data to identify exceptions, discrepancies, accuracy issues, risks, and improvement opportunities.
  • Manage multiple workstreams, prioritize competing tasks, and complete deliverables accurately in a high-pressure environment.
  • Provide responsive support to internal stakeholders and business units while balancing service needs with compliance and process requirements.
  • Support cost-benefit analysis, budget alignment, and procurement decisions using general accounting and finance knowledge.
  • Assist with vendor onboarding, purchase order tracking, spend management, and procurement system updates.
  • Support software license management, including license tracking, reconciliation, compliance auditing, and review of software licensing models for major vendors such as Microsoft and Cisco.
  • Research industry best practices, evaluate new technologies and products, and benchmark organizational practices against market standards.
  • Support asset disposal and recovery strategies for obsolete or underutilized IT assets, including auctioning, recycling, selling, or other recovery methods to maximize ROI.
  • Apply general IT infrastructure knowledge, including Intel hardware, Windows operating systems, and Cisco networking, to support informed purchasing and asset decisions.

Requirements

Do you have experience in Vendor relationship management?, * Advanced experience with contract management, including tracking, managing, and enforcing vendor contracts, software licensing agreements, warranties, and maintenance contracts.

  • Advanced vendor relationship management skills, including experience managing commercial and operational relationships with IT vendors and suppliers.
  • Advanced IT asset management experience, including hardware and software asset tracking, inventory management, usage monitoring, lifecycle planning, and disposal coordination.
  • Advanced Microsoft Excel skills for reporting, reconciliation, dashboards, spend tracking, asset analysis, and audit-ready documentation.
  • Experience supporting procurement and purchasing strategy, including volume purchasing opportunities, ROI analysis, total cost of ownership, and contract negotiation support.
  • Experience with financial and spend analysis, including monitoring IT spending trends, inventory costs, and cost-saving opportunities.
  • Experience developing or maintaining policies and procedures related to vendor management, asset tracking, procurement documentation, and mobile device sign-in/sign-out processes.
  • Strong reporting and documentation skills, including experience maintaining accurate and auditable records.
  • Strong written and verbal communication skills with the ability to present findings, recommendations, risks, and updates to leadership and cross-functional teams.
  • Strong analytical and problem-solving skills with the ability to identify exceptions, data accuracy issues, discrepancies, and improvement opportunities.
  • Ability to manage multiple workstreams, prioritize competing tasks, and deliver accurate work in a fast-paced environment.
  • Strong customer service orientation with the ability to support internal stakeholders while maintaining compliance and process discipline.

Nice to Have Skills:

  • Basic knowledge of accounting principles and financial concepts to support cost-benefit analysis, budget alignment, and procurement decisions.
  • General understanding of contract law, software licensing regulations, and compliance requirements related to IT procurement and vendor agreements.
  • Experience with disposal and asset recovery strategies, including auctioning, recycling, selling, or otherwise recovering value from obsolete IT assets.
  • Familiarity with ERP or procurement systems used for purchase orders, vendor onboarding, purchasing workflows, and spend management.
  • Hands-on experience with asset management software, inventory tracking platforms, ManageEngine, or CMDB systems.
  • Familiarity with common IT infrastructure technologies, including Intel hardware, Windows operating systems, and Cisco networking.
  • Experience researching industry best practices, evaluating new technologies and products, and benchmarking organizational practices against market standards.
  • Intermediate to advanced knowledge of software license management, especially Microsoft and Cisco licensing models, reconciliation, and compliance auditing.
