Job description

This is more than an administrative role - it’s the operational heartbeat of every project.

What You’ll Do

You will oversee job documentation, coordination, and communication from start to finish, ensuring every project is accurate, compliant, and progressing efficiently.

  • Monitor job file status, WIPs, and audit progress
  • Coordinate daily job file activities and reporting
  • Review and validate field documentation
  • Create preliminary estimates and maintain accurate job backups
  • Ensure client and compliance requirements are met
  • Maintain strong internal and external communication
  • Complete final documentation and oversee job close-out
  • Support general office functions including correspondence and reporting

Requirements

Do you have experience in Xactimate?, Do you have a High school diploma or GED?, Do you thrive in a fast-paced environment where organization, communication, and leadership make all the difference? Do you enjoy helping people navigate difficult situations with confidence and clarity?, * 2+ years of administrative or office experience preferred (not required)

  • Exceptional written and verbal communication skills
  • Calm, professional demeanor under pressure
  • Highly organized with strong attention to detail
  • Self-motivated, dependable, and goal-oriented
  • Comfortable coordinating multiple moving parts
  • Ability to learn new software systems (Xactimate experience is a plus)
  • High School Diploma or GED required
  • Must pass background check (subject to applicable law), * High school or equivalent (Preferred)

Experience:

  • Xactimate: 1 year (Preferred)

Language:

  • English (Required)
