Job description
As a Document Control Specialist, you'll be responsible for maintaining the accuracy and organisation of Quality documentation to ensure compliance with company standards and regulatory requirements. You'll manage document lifecycles, coordinate change approvals, and provide reliable document support across departments.
Key responsibilities of the Document Control Specialist include:
Reviewing and verifying the accuracy of Quality and operational documentation.
Managing document workflows in the electronic Quality Management System (eQMS) - creating, revising, and maintaining controlled documents.
Monitoring document status and approvals to ensure timely completion.
Daily scanning, filing, and indexing of documentation such as shipping records, inspection data, and reports.
Maintaining and reconciling Device History Record (DHR) files and coordinating file closures.
Generating monthly document control and training metrics reports.
Processing daily training reports to track and confirm employee training completion.
Preparing and coordinating off-site document storage via secure archiving systems.
Supporting internal and external audits through accurate and accessible records.
Requirements
This Document Control Specialist position is ideal for someone highly organised, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.
Skills & Experience:
To be successful in the Document Control Specialist role, you should have:
Minimum 2 years' experience in a document control or quality administration role within manufacturing, engineering, or a regulated industry.
Strong MS Office skills (Word, Excel, Outlook).
Excellent organisational, communication, and problem-solving skills.
Strong attention to detail with the ability to meet tight deadlines.
Proactive attitude and willingness to learn.
Knowledge of ERP or document management systems (e.g., MasterControl, DocStar) is an advantage.
A relevant qualification (HND, Associate or Bachelor's degree) is preferred but not essential.
