Job description

We're looking for a highly organised Document Controller to support the smooth delivery of projects within one of the UK's most dynamic creative-engineering companies. In this role, you'll keep information structured, traceable, and consistently accurate, acting as the link between designers, engineers, contractors, and wider partners as we continue to grow and deliver complex, high-impact projects., Document & Data Management

  • Maintain and administer the Common Data Environment (CDE) or other document management systems, ensuring all documentation is uploaded, structured, and accessible in line with agreed protocols.
  • Create, update, and manage RFIs, Document Control Logs, Transmittals, and Submittal Registers. Ensuring accuracy, revision control, and timely submission.
  • Implement and monitor compliance with agreed document numbering, naming conventions, and metadata standards.
  • Collate, check, and issue cut sheets, specifications, and technical submissions in accordance with project deliverable schedules.

Standards & Compliance

  • Enforce and monitor adherence to project information standards, Information Requirements.
  • Track and report document status, approvals, and changes against project stage deliverables.
  • Ensure delivery of accurate and complete information for BIM integration, naming conventions

Change & Interface Management

  • Maintain Change Logs and Design Issue Registers to ensure traceability of revisions, variations, and scope adjustments.
  • Support coordination between design consultants, contractors, vendors, and specialist suppliers, ensuring document interfaces are clear and aligned.
  • Assist in preparing and formatting reports, stage submissions, compliance trackers, and deliverable schedules.

Requirements

  • Minimum 2 years' experience in document control and administration within large-scale construction, engineering, or infrastructure projects.
  • Strong organisational and administrative skills with meticulous attention to detail.
  • A proactive approach to identifying inconsistencies, errors, or risks in document flows.
  • Ability to interpret and manage documents across multiple technical disciplines.
  • Proficient in document management systems, MS Office, and reporting tools.

It would be great if you have

  • Working knowledge of CDE environments (e.g. Aconex, SharePoint, ACC or similar platforms).
  • Familiarity with RIBA Stages 2-4 deliverables and multi-disciplinary coordination, ideally in an entertaiment environment.
  • Experience in BIM projects and supporting tools (eg Revit, Navisworks, BIM 360)
  • Understanding of international standards such as ISO 19650, BS EN 17412 (LOIN), and COBie.
