Job description

This role involves coordinating SHL's IP administrative support function, formed of IP Paralegals that handle administrative tasks relating to IP, including in particular patents, design registrations and trademarks. Team tasks involve liaising with internal stakeholders and external counsel, docketing and recording deadlines, filing documents at patent offices, making payments such as for renewal fees and other official fees, handling incoming invoices, organizing meetings and taking minutes, maintaining records and electronic files, preparing and obtaining signature of straightforward legal documents, updating and managing our case management system and preparing reports. The IP Paralegal (Team Lead) is expected to be hands on with these tasks, and additionally coordinate the work of the team of paralegals, allocating and supervising workloads appropriately and reporting directly to the Head IP Strategy and Litigation. A key part of this role is also to lead implementation of the IP team's processes, and in particular to evolve the use of our case management software and other IT solutions to reflect those processes and drive efficiency. Main Responsibilities

  • Lead the day-to-day work of the IP Paralegal team
  • Develop and implement the IP team's processes and workflows
  • Develop, maintain and ensure integrity of our case management system and other databases
  • Take responsibility for docketing and filing IP applications in Europe
  • Take responsibility for docketing and managing due dates for Office Actions
  • Take responsibility for docketing and managing foreign filings and working with foreign associates to coordinate filings
  • Organize and keep track of intellectual property matters
  • Supervise drafting of outgoing correspondence; prepare corporate records, statements, POAs, etc.
  • Track status of IP matters and deadlines
  • Supervise invoice approval process according to the internal policy
  • Prepare reports monitoring KPIs and other IP statistics
  • Support the Head of IP Strategy and Litigation, CLO and other managers with team organization
  • Perform other administrative tasks, as assigned by the Head of IP Strategy and Litigation

Requirements

Do you have experience in Word processing?, * Further education (e.g. degree or diploma), or equivalent

  • 5+ years' work experience in IP administration
  • Strong attention to detail, and excellent interpersonal skills
  • Outstanding IT capabilities, in particular MS Office (Word, Excel, Outlook and PowerPoint)
  • Fluency in English language

Preferred Qualifications

  • Formal training in IP paralegal work is desirable, such as the EPAC, CAS IP Paralegal course or similar
  • German language skills
