Due to growth and expansion within our team, SecuriGroup Systems are seeking an experienced Fire & Security Administrator working within the financial district of the city, to demonstrate our values of Loyalty, Integrity and Professionalism while delivering a high standard of service.
The Fire & Security Administrator supports the operational, compliance, and customer service functions of a fire protection and electronic security department. They ensure that installations, inspections, service work, and monitoring processes run smoothly by managing documentation, scheduling, communication, compliance records, and system data.

What You Will Be Doing:
- Schedule fire alarm inspections, maintenance visits, service calls, and security system checks.
- Coordinate technician calendars and allocate jobs based on skill, location, or urgency.
- Track job progress and ensure completion within time requirements (e.g., regulatory deadlines for fire inspections).
- Liaise with external monitoring stations for alarm system connections or account changes.
- Maintain compliance records for fire alarm tests, emergency lighting, extinguishers, sprinkler systems, and security devices.
- Organize certification documents such as:
- Fire alarm test certificates
- Security system commissioning forms
- Maintenance logs
- Ensure company compliance with local/national fire safety regulations & other (e.g.SSAIB & BAFE)
- Track expiry dates for mandatory inspections and send reminders.
- Act as the first contact for customers regarding service requests, system faults, or inspection queries.
- Prepare quotations for service visits, call-outs, or system installations.
- Handle customer accounts, updates, and communication with monitoring services.
- Manage incoming alarm reports from monitoring stations and notify customers of faults or events.
- Update internal systems with job sheets, technician notes, parts used, and test results.
- Maintain inventory records for fire & security equipment (detectors, control panels, CCTV parts, etc.).
- Create and update customer site records, device lists, and zone charts.
- Log and track fault calls, equipment failures, and corrective actions.
- Generate invoices for inspections, maintenance contracts, and call-out work.
- Process purchase orders, supplier invoices, and inventory orders.
- Assist with contract renewals for fire & security services.
- Ensure technicians' paperwork (risk assessments, permits to work, method statements) is completed before site work.
- Maintain records of staff training and certification (e.g., fire alarm engineer qualifications, security licensing).
- Ensure engineers have correct documentation, keys, access codes, or site permits.
- Prepare job packs with drawings, plans, and system info.
- Monitor the status of system installations and assist with handover documentation for customers.

Requirements
Do you have experience in Organizational skills?, * Strong administrative and organizational skills
- Knowledge of fire & security systems (fire alarms, CCTV, access control, intruder alarms)
- Good communication with engineers and clients
- Ability to manage compliance schedules
- Proficiency in CRM/job scheduling software
- Attention to detail for records and certification tracking
