The Operations Support Administrator plays a key role in ensuring consistent, high-quality operational and administrative support to our clients, contract managers, regional managers, and wider business. The role provides administrative support across core and additional works, ensuring queries are managed efficiently, processes are consistent across regions, and service delivery remains seamless., * Deliver consistent and professional support to clients and internal stakeholders.
- Ensure all client and internal queries are managed promptly, accurately, and in line with service standards.
- Work collaboratively across teams and departments to deliver joined-up and efficient processes.
- Share knowledge and best practices to help improve team performance and consistency.
- Contribute to continuous improvement by identifying and suggesting process and system enhancements.
- Provide first-level administrative and operational support to regional and key account teams.
- Respond to queries and challenges received via telephone, email, and internal systems in a timely and professional manner.
- Work within shared regional mailboxes to manage communications with clients, suppliers, and internal stakeholders.
- Maintain accurate and up-to-date data in the CRM system and CSC app.
- Within the Hive system create, upload, and manage quotes from initiation through to completion.
- Raise purchase orders (POs), ensure goods are receipted, and manage the full PO process.
- Ensure invoicing data is accurate and up to date to support timely and correct billing by the invoicing team.
- Track and record extra works, ensuring completion and accurate reporting.
- Maintain oversight of annual contracts, renewals, and price increases.
- Schedule, amend, coordinate and monitor jobs and site attendances within the region.
- Run and produce operational and client reports as required.
- Support the Key Account Support Team with client reporting and documentation.
- Manage general regional administrative duties including ordering materials, uniforms, and stationery.
- Set up and manage sub-contractors, including PO creation, booking, and completion tracking.
- Attend and contribute to company and regional meetings, sharing relevant updates and insights.
- Support continuous improvement initiatives and contribute to regional and company-wide projects.
- Undertake any other reasonable duties within the scope of the role, supporting the overall effectiveness of Client Operations Support.
Requirements
Do you have a valid Driving Licence license?, Do you have experience in Pivot tables?, This is a dynamic role requiring strong communication, organisational skills, and attention to detail, with a focus on continuous improvement and collaboration across teams., * Strong administrative and organisational skills with high attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Confident using Microsoft Office Suite (Excel, Outlook, Word) and CRM systems.
- Team player with a proactive and problem-solving mindset.
- Previous experience in operations, facilities management, or a customer support environment.
- Experience with PO/invoicing systems or service management platforms (e.g., Dynamics, CAFM).
- Understanding of regional or multi-site support functions.
- Customer-focused with a commitment to delivering excellent service.
- Proactive in identifying opportunities for improvement.
- Reliable, accountable, and capable of working independently when required.
