Job description

You will work closely with project managers, site teams, consultants, and subcontractors to maintain document control systems and ensure compliance with company and client procedures., * Control the company documents (excluding technical documents) by ensuring that the documents, including correspondence, are in the right place, at the right time.

  • Operating under the supervision of the Senior Quality Officer, the position requires an organised, methodical, accurate person who can cope with a varied system and has a reasonable understanding of the purpose of each document.
  • Needs to be able to work under pressure to ensure daily tasks are completed on time.
  • Needs to be flexible and motivated to help solve problems that occur.

Accountabilities and specific duties:

  • Registration of in/out going documents including correspondence
  • Prepare transmittals for distribution of documents and confirm document receipt * Prepare and maintain distribution matrices
  • Set-up and maintain Project Files
  • Filing of all project correspondence and documents (including QSE copy)
  • Maintain company library: Register documents in/out o Arrange purchase of new documents | Circulate new documents to management | Maintain library documents up to date
  • Liaise with Sites, Depts and Clients on document control matters and advise staff on requirements
  • Archiving of completed Project Files and Site Files after site completion, and maintain records until final account
  • Maintain and routinely issue document status lists and matrices
  • Perform the general responsibilities which are mentioned in the company management system (Quality Safety Environment), project quality plan (if any) and project health, safety and environment plan (if any).

  • Organisational skills (prioritising tasks, respecting deadlines, methodical work)
