Job description
The position includes complementary areas of work: operational tasks for the preparation and delivery of events, and tasks related to managing digital tools necessary for the smooth running of the organization and events.
- Contribute to the delivery of PPF events across technical, logistical, and digital aspects, occasionally in collaboration with an event agency;
- Support the Forum's operations management in the operational coordination between the Forum teams, the various digital resources used, and their respective service providers;
- Configure and update the digital tools used at the Forum (such as Inwink, Bafta, Eventanizer, etc.): creating registration and accreditation forms, setting up the event mobile app, surveys in coordination with the relevant departements;
- Manage technical relationships with service providers:
- Oversee the back-offices of the tools;
- Monitor performance, incident tickets, and delivery times during updates or the installation of new features (ensuring schedules and objectives are met);
- Coordinate various service providers to ensure good interoperability of different digital tools (API connections and other synchronizations);
- Oversee the development or selection of new business applications:
- Collaborate with internal teams and providers to ensure the relevance of current or future tools;
- Identify needs for functional improvements or corrections;
- Ensure data quality, consistency, and updates across our databases.
- Monitor expenses and propose optimizations when necessary; track KPIs;
- Train PPF teams on the use of internal tools: workshops, one-on-one sessions, and training materials (documentation, tutorials);
- Ensure the implementation of GDPR best practices in our digital tools., The offices of the permanent secretariat of the Paris Peace Forum are located in Paris (15th arrondissement). Up to two days of remote work per week may be authorized, subject to management approval.
Requirements
- Education level: Bachelor's degree +3 to +5;
- Areas of specialization: project management, digital tools management, (event management),
- Knowledge of CMS tools (WordPress, Drupal, etc.) and digital tool back offices;
- Good understanding of concepts related to GDPR;
- Professional proficiency in English and French, both written and spoken (C2 level or equivalent required);
- Proficiency in office software (Microsoft Office Suite) and an interest in digital tools in general., * Ability to manage multiple projects under tight deadlines;
- Thoroughness, organizational skills, attention to detail, and initiative;
- Ability to work in a team and build trusted relationships with partners;
- Adaptability and ability to work independently;
- Analytical mindset in prioritization;
- Good communication skills and proactive attitude.

The Paris Peace Forum is a multi-stakeholder platform launched in 2018 that aims to respond to global challenges. Throughout the year, the Forum works to strengthen the governance of global commons such as climate, space or oceans, and to improve international management of global challenges, particularly those of digital and disruptive technologies. Its annual event, in November, brings together heads of state, government and international organizations, as well as leaders of civil society and the private sector, to discuss political initiatives and concrete projects, with an emphasis on the participation of the global South.
