Job description
The Onboarding Support is primarily responsible for the accurate, compliant, and timely administration of new landlord portfolio instructions. This role is heavily administration-based, focused on data management, documentation control, reporting, and process governance to ensure a structured and seamless onboarding experience.
You will take ownership of all onboarding administration, ensuring that systems are accurately updated, tenancy agreements drawn up and executed, compliance documentation is obtained and recorded, and portfolio records are complete before handover to the operational management team
As a secondary aspect of the role, you will liaise with outgoing managing agents and internal stakeholders to support smooth transitions and resolve outstanding queries.
Reporting to the Property Management Regional Director, you will work alongside the Onboarding Property Manager, supporting the accurate onboarding of landlords and ensuring that all administrative processes are completed to a high standard prior to full portfolio integration.

- Demonstrate respect in all communications, both internal and external. Your support will play a critical role in maintaining the smooth running of the onboarding process and overall Landlord and Tenant experience
- Landlord Portfolio Onboarding Management
- Assist in the onboarding for new properties with passion and precision, ensuring accurate data entry, accurate tenancy agreements and transferring of deposits to our preferred scheme, Demonstrate integrity in handling sensitive information and ensuring every detail is correct
- Landlord Liaison
- Build strong, respectful relationships with landlords by communicating clearly and professionally. Ensure all portfolio documentation is complete and correct, instilling confidence and trust from day one. Your bravery in tackling challenges head-on will help ensure smooth transitions, not just for the landlord but also the tenant in situ.
- Collaboration with Multi Landlord Property Managers and Lettings
- Support the Lettings team by consistently updating them on onboarding progress and ensuring a clean, timely handover to the Property Managers. Your ability to collaborate with respect and integrity ensures a positive internal and external client experience.
- Status Monitoring
- Proactively track onboarding milestones and monitor property portfolio statuses. Your persistence and passion for excellence will drive timely completions and highlight areas needing attention, reflecting our brave approach to problem-solving..
- Reporting and Compliance
- Compile accurate weekly reports detailing onboarding progress and flag any outstanding documentation. Demonstrate integrity in your reporting and passion for maintaining high standards
- Process Improvement
- Collaborate with internal departments to uphold robust onboarding processes. Make bold, brave recommendations for improvement where needed, always acting with respect for people and processes and a passion for delivering excellence.
Requirements

Desirable Skills & Experience
- Previous experience in property management (preferred but not essential)
- Proven ability to manage complex administrative tasks and timelines
- Strong attention to detail and organisational skills
- Competency in Microsoft Excel and other data management tools
- Experience with Reapit (preferred but not essential)
