Job description
We are seeking a reliable and organised Document Controller / Office Manager for an ongoing civil engineering project based in Fawley, Southampton. This hybrid role requires the successful candidate to be primarily onsite, acting as the main point of contact for all administrative support and overseeing site office activities. Key responsibilities include managing and controlling project documentation, ensuring all site documents are accurately filed and maintained on relevant IT systems in accordance with established indexing and document naming protocols. The role demands close collaboration with project teams to maintain document integrity and compliance throughout the project lifecycle. Candidates must be able to access the Fawley Refinery site and may be required to undergo basic DBS checks for unsupervised project access. The advertised pay rate is £17.50 PAYE or £22.50 PAYE Umbrella, Act as primary administrative support and point of contact for the project onsite Oversee and manage all site office activities to ensure smooth operations Control and maintain project documentation, ensuring compliance with document control protocols File and index site documents accurately on IT systems following naming conventions Ensure timely distribution and retrieval of documents as required by project teams Maintain document registers and trackers to monitor document status and compliance Liaise with internal teams and external contractors to support document control processes Support general office administration duties as required
Requirements
Experience in administration support within construction or civil engineering environments Knowledge of document control protocols and best practices Strong organisational and multitasking abilities High attention to detail and accuracy in document handling Ability to work independently and as part of a team Good written and verbal communication skills Proficient in Microsoft Office (Word, Excel, Outlook) Ability to prioritise workload and meet deadlines Reliable and proactive approach to work Willingness to undergo basic DBS checks
