Job description

We're looking for a reliable, detail-oriented Operations Administrator to support day-to-day operational tasks across orders, invoicing, documentation and supply chain coordination.

This is a practical, hands-on role focused on execution and accuracy.

You'll work closely with the Founder and Head of Ops to keep the business running smoothly as we scale.

What You'll Own

Production Planning

  • Support supply and demand planning, forecasting, stock levels and re-order points
  • Execute production plans to ensure timelines are met and launches land on time
  • Own the operational admin behind production, including raising POs, ordering materials, tracking stock, logging wastage and maintaining production documentation
  • Coordinate with manufacturers, co-packers and 3PL partners to manage deliveries and ensure finished goods land smoothly and on time,.
  • Manage inbound logistics from co-partners to 3PL, coordinating ASNs, safe delivery and ensuring stock is receipted accurately and on time
  • Support post-production reconciliation documentation

Orders & Customer Operations

  • Process incoming client orders to delivery
  • Handle operational customer enquiries (orders, deliveries, samples)
  • Manage sample requests
  • Keep platforms up to date, including error reporting logs.

Finance & Admin Support

  • Receivables: issue client invoices and proactively chase outstanding payments
  • Payables: meticulously review supplier invoices (3PL, co-packer, co-manufacturer) against issue logs, raise discrepancies, and support supplier payments to ensure accurate charging.
  • Maintain accurate records of raw materials and finished goods, and provide stock reports to accountants to support balance sheet reporting.

Systems & Documentation

  • Maintain inbox control and file correspondence correctly
  • Keep operational documents organised and up to date
  • Update weekly logs and trackers

Requirements

Must-haves

  • 3+ years' experience in operations, supply chain or logistics support (ideally food & beverage or FMCG)
  • Experience coordinating with suppliers, co-manufacturers and 3PLs
  • Highly organised with very strong attention to detail
  • Strong Excel skills and confidence working with numbers
  • Clear, confident written and verbal communicator, including with external partners
  • Reliable, proactive and able to follow through without constant direction
  • Comfortable taking ownership of issues and seeing them through to resolution

We're also open to experienced Executive Assistants or fractional operators who have supported multiple FMCG or food brands and are comfortable owning operational admin and coordination.

Nice to have

  • Experience working in a startup or fast-growing business
  • Familiarity with Xero, Notion or Airtable
  • Exposure to inventory management or production environments
