Job description

The interface manager will coordinate between the projects and operational team to ensure work is completed. They will be responsible for the management, pricing, processing and executing all workplace change requests requested by the client & Equans. They will manage all stakeholder relationships, including client, operations, projects and associated subcontractors in accordance with company procedures and ensure that activities comply with contractual protocols.

What will you deliver?

  • To manage the submittal of quotations, estimates and tenders for all additional work as requested (Authority and Service Provider Change Notices process) and to be responsible for the preparation, accuracy and processing of all accounts following completion of projects/events, in accordance with company guidelines and procedures
  • To deliver at all times, high-quality Small Works projects withing the contract by applying professional expertise and management control, thus ensuring added value, increased productivity, and cost-effective service. Operate effective and professional services, following procedures to ensure an efficient and responsive service across the contract
  • To obtain quotes from sub-contractors and suppliers. Getting Authority approval on Change Notice Forms (ACNs) Providing weekly reports on the current status of Minor/Small works. Running of Small works Maintaining Project management system
  • Be responsible for the management of the ACN & SPCN Tracker ensuring that is always current, accurate and used as a live tracking tool
  • To prepare reports, tenders, presentations, and other documents as required, maintaining confidentiality at all times
  • To manage the Workplace Change Team
  • To work with the Compliance Advisor and Property Management team to ensure assets are updated and records kept
  • To be the Contract Interface for the management of all Equans delivered additional works and projects. Working with all Equans delivery models whether capital, Lifecycle or Operationally delivered
  • To ensure that all relevant compliance documentation is obtained during and at the end of each project where applicable
  • To chair all Change & Interface meetings both internally and externally with suppliers and clients. with the SPV and client teams
  • To develop the Interface and Project Completion processes
  • To ensure O&M manuals and drawings, Hard & Soft are received following completion of work and interfaced into the Buildings Technical Library
  • To comply with all the Company's Policies, Management Plans and Procedures
  • To fulfil Health & Safety responsibilities by adherence to the requirements of the Company's Health & Safety Policy and Health & Safety Management Plans
  • To undertake such other duties appropriate to the level and character of work as may reasonably be required within the Department / Service. Significant permanent changes in duties will require agreed revisions to be made to this Job Description

Requirements

  • To have appropriate level of academic or vocational qualification/achievement relevant to the building services environment
  • Excellent communication and organisational skills and excellent customer service skills
  • High level of IT literacy in using Microsoft and CAFM packages (intermediate/advanced Excel and Word)
  • Good commercial and contractual awareness
  • Experience in estimating the cost of works with the ability to deliver work against targets both budgetary and within set timescales
  • Attention to detail and strong contract administration skills - records and change control with clients and subcontractors
  • To be experienced in sub-contractor control and resource management
  • Previous held Government security clearance
  • Experience of working in contract or local government environment
