Job description

Days of Working: Monday to Friday, * Liaise with the Business units and ensure contract data is accurate and ready for upload within designated timescales

  • Undertake the management, development and implementation of the data upload sheets.
  • To assist individuals with any queries they may have during any stage of the process.

Main Duties:

  • Develop a tracker and ensure all contract data is collated in correct format within the designated timescales
  • Main contact for all regions, ensuring each contract has data upload sheet and that they are returned in a timely manner.
  • Arrange any face to face or virtual training to ensure operatives know their responsibilities during the process.
  • Review completed sheets to ensure they are consistent across the business.
  • Report progress back to Senior Management against the schedule and ensure that any concerns are discussed in full on a weekly basis.

Additional Responsibilities:

  • Liaise with CAFM team and ensure that any issues they raise are addressed by the operational teams.
  • Liaise with the trainers to develop a robust training plan for the new CAFM system and mobile solution. Ensuring all levels receive the required level of training across the business.
  • Track the training and ensure everyone attends and that they fully understand the new processes. Report any issues encountered to Senior Management as soon as they occur.
  • Complete and report on all information pertaining to the training schedule.

Decisions Made:

  • Take decisions regarding data collection delivery of training programme, required resources, and materials or equipment required in consultation with the Senior Management.
  • Organise and plan your individual communication plan, ensuring that you liaise with each Business Unit on a regular basis to track progress in each region accurately.
  • Structure the working week and prioritise the workload to effectively manage the process and ensure that regular (no more than weekly) updates are provided to Senior Management. Any risks or issues encountered, no matter the size or potential should be escalated immediately for discussion.
  • Take relevant decisions to develop a team to deliver the training requirements for the new CAFM system and mobile solution across the business.
  • Use their own initiative for any other training matters, not mentioned above, to help and support the business units progress through the process.

Requirements

  • Knowledge of the SJIB Training Schemes, industrial relations, and national working rules.
  • Knowledge of mechanical, electrical installation, facilities management work and current practices.
  • Knowledge of local network and geography.
  • Comprehensive computer skills.
  • Communication skills - interpersonal, oral and written.
  • Presentational skills - oral and written.
  • Human resource skills in guidance for trainees.
  • Up to date Health & Safety knowledge and risk assessment skills.
  • Must have good public relations skills.
  • Knowledge of training and assessor skills.
  • Driving skills.
  • Skill and confidence to work under minimum supervision.
  • Must be a team player and willing to seek advice and guidance., * Must have completed a recognised mechanical or electrical installation apprenticeship (or equivalent) and ideally hold a current SJIB Electrician grade card or mechanical qualifications. If your grading has lapsed, you should still possess the relevant qualifications and certificates.
  • At least five years post apprenticeship experience in the industry.
  • IOSH membership.
  • Full clean Driving license and undertake Driver Awareness programme.

Working Conditions:

  • Organise and plan frequency and quantity of travel undertaken, associated with normal duties to ensure the most effective use of time and expense.
  • Must be able to transport materials, career stands, literature, books, etc. to colleges if required.
  • Must be prepared to work out of normal hours, i.e. trainee night shift, careers events, seminars, etc.
  • Must be prepared to gain access to sites for reviewing purposes, employer meetings, etc.
  • Must be prepared for travel and overnight stays when required.

Additional Information:

  • A good training officer must be well-motivated, committed to training, and have a good rapport with employers, other contacts, and particularly apprentices/trainees.
  • Flexibility in working arrangements with the ability to respond promptly to employer requirements and trainee needs.
  • Must be enthusiastic about development of apprentices to ensure they reach their full potential.
