Job description

The role will play a central part in the day-to-day running of our business - a leading surveying and construction consultancy - by providing high-quality administrative support across a range of projects. Generally, this will include defect coordination, document production, and liaison with clients, residents, and contractors., The role spans our joint business-wide administration and aftercare functions, offering variety and diversity in day-to-day responsibilities. In addition, you will be responsible for team line management, where you will support, organise, and coordinate the Support Services team to ensure priorities are met and standards are maintained. You will play an active role in feeding information, insights and operational updates to the Support Services Manager and contributing to workflow planning, performance and continuous improvement.

Understanding and embracing our objective to be "the consultant of choice" is key, as this underpins how we deliver an exceptional service to our clients., * Dictation typing for various site and progress meetings to support our Surveyors and Clerk of Works

  • Producing, formatting, and amending reports, letters, and other documentation from a wide range of sources to support our Surveyors, Clerk of Works, and end of defects processes
  • Creating, maintaining, and issuing defect-tracking spreadsheets to ensure accurate and up-to-date records
  • Ensuring that all documents produced align with the company style and are produced within the required deadlines, and are organised and stored in line with our quality management system guidelines
  • Participating in daily defect calls and providing clear and accurate defect updates, actions, and progress reporting
  • Liaising with contractors to ensure a clear and efficient defect detail is recorded
  • Ensuring all defects are entered correctly and controlled/managed as effectively as possible throughout the lifecycle
  • Liaising with residents, contractors, and Clients daily to chase and update defects and organise inspections across all regions, in accordance with the appropriate member of Rund's team
  • General office management - such as greeting visitors, setting up meeting rooms and administrative support in the day-to-day running of the office
  • Answering and screening calls/passing on messages to the team

Line Management & Senior Responsibilities

  • Undertaking line management responsibilities for members of the Support Service team
  • Conducting regular 1-to-1 meetings and providing feedback, guidance, and support to ensure performance standards and development needs are met
  • Organising and overseeing team workloads to ensure priorities, deadlines, and service levels are maintained
  • Acting as the Support Services Manager's second-in-command, supporting the day-to-day management of the function and deputising when required
  • Feeding operational updates, issues, and performance information into the Support Services Manager to support decision making and continuous improvements

Requirements

We are looking to appoint a proactive and dedicated Senior Support Services Administrator to join our team in our Southampton office on a full-time basis., Our new Senior Support Services Administrator must be a strong team player with excellent communication and organisation skills, alongside a solid working knowledge of Microsoft and Excel. You will be confident in multitasking and prioritising workloads, with a proven ability to apply proactive thinking in a fast-paced environment. A professional and methodical approach is essential, with consistently high levels of concentration and accuracy., The right individual will have:

  • Strong IT skills with advanced knowledge of Microsoft Office suite including Word and Excel
  • Experience with the Salesforce platform (desired, but not essential as training will be provided)
  • At least 5 years' experience in an administration role and 3 years' experience in a Senior role with line management duties
  • A thorough approach and excellent attention to detail
  • Confidence in quickly learning and adapting to new software systems and database platforms, as we continue to implement and develop new technologies
  • Highly organised and proactive, with the ability to plan, prioritise, and manage workloads effectively
  • High standards set for themselves and others to ensure that agreed processes and procedures are adhered to
  • The ability to establish, develop and maintain effective working relationships with all work colleagues and contractors
  • The capability to work independently, while also providing guidance and support to others
  • Experience of line management or supervision, including organising team workloads, providing day-to-day support, and maintaining performance standards
  • Ability to coordinate team activity and feed operational information, issues, and updates into the Support Services Manager
  • Experience in an administration or aftercare role within the property and construction sector (desired, but not essential)
  • Understanding of defects tracking systems (desired but not essential)
