The IT Business Operations Administrator is a critical member of the Information Technology Services (ITS) team, responsible for supporting the administrative and operational needs of the department. This role ensures smooth day-to-day operations by coordinating internal workflows, managing departmental documentation, and maintaining accurate records for IT assets, budgets, procurement activities, and vendor agreements. The position also provides administrative support for project coordination, assisting with timelines, tracking deliverables, and supporting cross-functional collaboration.
This role requires exceptional organizational skills, strong attention to detail, and the ability to juggle multiple priorities in a fast-paced, evolving technology environment. The IT Business Operations Admin serves as a central resource for operational continuity¿supporting budget tracking, purchase requisitions, inventory management, and vendor communication. The ideal candidate thrives in a collaborative setting, brings a proactive mindset to problem-solving, and ensures that ITS operations remain efficient, compliant, and aligned with institutional goals.

Responsibilities
- Manage calendars, coordinate appointments, and support scheduling for department leadership and team meetings.
- Handle incoming calls, emails, and correspondence prioritize messages and ensure timely responses.
- Draft, edit, and prepare business documents, reports, and presentations with a high level of accuracy and professionalism.
- Organize meetings, prepare agendas, record minutes, and track action items. Assist with planning internal events and team-building activities.
- Arrange travel logistics, process travel reimbursements, and ensure timely and accurate submission of expense reports.
- Maintain data in the software asset catalog, assist with purchases, licenses, and contract renewals, and help review vendor quotes and documentation.
- Coordinate with vendors and track payment schedules to ensure timely processing in line with budgetary and fiscal policies.
- Enter and maintain detailed information related to budgeting, software compliance, inventory, and contracts in departmental databases.
- Manage sensitive information responsibly, ensuring alignment with internal policies and information security standards.
- Work with internal teams and external partners to support department-wide initiatives and maintain consistent communication.
- Participate in the inventory tracking and management for the ITS department as needed and designated by the IT Business Operations Manager, IT Director of Services, and CIO.

Requirements
- Associate degree in business administration or related field or an equivalent combination of education and experience.
- 3 to 5 years of experience supporting senior executives, preferably in the technology of the IT sector.
- Proficiency in office management software (e.g., Microsoft office, Excel, Word and PowerPoint).
