Job description
Reporting to the Director of Operations, you will work to develop Salesforce automations and workflows to support org-wide needs, such as data tracking and processes. This role will oversee all aspects of Salesforce's functionality, including the integrations of external platforms, such as Jotform, FormAssembly, PandaDoc, Google Workspace, and Disco AI Social Learning.

A key part of your role will involve a deep understanding of Salesforce, integrations, and providing ongoing expertise in backend operations to improve efficiency., Salesforce Administration (60%)
- Collaborate with partners, participants, and staff to define and document optimal workflow processes.
- Configure and maintain Salesforce objects, both standard and custom, as fits staff needs (Contacts, Opportunities, Enrollments, Venues, Campaigns).
- Own the end-to-end design, deployment, and maintenance of a high volume of automated web forms (e.g., Jotform, FormAssembly) across registrations, reports, surveys, and more - one of the most frequent and hands-on responsibilities of this role.
- Maintain program-related records (enrollment, attendance, impact metrics) with accurate data mappings.
- Serve as the subject-matter expert on Salesforce backend operations.
- Design advanced dashboards and data-visualization projects to support strategic decision-making.
- Continuously refine data structures, validation rules, and flows to align with organizational goals.
- Monitor new Salesforce releases and propose feature enhancements.
- Automate email alerts and task assignments to support partner coordination.
- Build custom dashboards and reports to surface insights on engagement, program impact, and donor retention.
Collaboration & Training (20%)
- Partner with other departments to intake and prioritize cross-departmental data and reporting requests through project management/ticket tracking systems.
- Train staff on Salesforce best practices: data entry, report creation, and workflow management.
- Act as a strategic thought partner - participate in solution design workshops and process-improvement initiatives.
- Provide ongoing troubleshooting and technical support for Salesforce-related issues.
Workflow & System Integration (20%)
- Optimize and integrate Salesforce with external systems (PandaDoc, Disco, Google Drive, etc.).
- Configure connections to email-marketing platforms, donation processors, and event-management tools.
- Embed external waivers/clauses into Jotform, FormAssembly, and ensure seamless sync with Salesforce.
- Update workflows, fields, and reports to meet evolving cross-departmental requirements.
Requirements
Required:
- 3+ years of hands-on Salesforce administration (Sales Cloud). Proven experience with Jotform, FormAssembly, or similar form builders integrated into Salesforce.
- Strong understanding of data modeling, process automation, and report/dashboard creation.
- Familiarity with REST APIs and middleware platforms.
- Excellent communication skills and ability to train non-technical users.
- Demonstrated curiosity about AI technologies and their practical applications.
Preferred:
- Salesforce Administrator certification (ADM-201) or higher (desired).
- Experience with AI/ML platforms and building simple chatbots (e.g., using OpenAI, Microsoft Azure AI).
- Basic scripting skills (JavaScript, Python) for API integrations and data transformations.
- Prior exposure to nonprofit or education-sector CRM implementations.
