Job description

We are seeking an experienced Warehouse Operations Lead to manage the day-to-day operations of our growing third-party logistics (3PL) warehouse. This position is responsible for receiving, inventory management, order fulfillment, shipping, customer inventory accuracy, and warehouse organization.

The ideal candidate has hands-on experience with Extensiv (formerly 3PL Warehouse Manager), SAP, and ShipStation, and can independently operate and manage warehouse activities while working closely with the office and customer service teams.

Responsibilities

Warehouse Operations

  • Manage all daily warehouse activities.
  • Receive inbound containers and domestic shipments.
  • Verify shipments against packing lists, purchase orders, and ASN documentation.
  • Perform accurate receiving and inventory put-away.
  • Assign warehouse locations for incoming inventory.
  • Maintain an organized, clean, and safe warehouse.
  • Operate forklifts, pallet jacks, and warehouse equipment safely.
  • Ensure OSHA safety compliance.

Warehouse Management System (Extensiv WMS)

  • Process inbound receipts.
  • Process outbound orders.
  • Maintain accurate inventory records.
  • Manage warehouse locations and bin transfers.
  • Perform inventory adjustments with proper documentation.
  • Conduct cycle counts and annual physical inventories.
  • Investigate and resolve inventory discrepancies.
  • Generate inventory and operational reports.

SAP

  • Process receiving transactions.
  • Create and process inventory transfers.
  • Update inventory transactions accurately.
  • Verify inventory between SAP and the WMS.
  • Assist in troubleshooting inventory discrepancies.
  • Coordinate inventory reconciliation between systems.

ShipStation

  • Process customer orders.
  • Create shipping labels.
  • Manage carrier integrations.
  • Generate Bills of Lading (BOLs) and shipping documents when required.
  • Schedule carrier pickups.
  • Troubleshoot shipping exceptions.
  • Monitor shipment status and tracking information.

Shipping & Receiving

  • Load and unload trucks and containers.
  • Verify outbound shipments for quantity and product accuracy.
  • Prepare shipments for LTL, FTL, parcel, and customer pickup.
  • Palletize, stretch wrap, label, and stage freight.
  • Ensure proper documentation accompanies every shipment.

Inventory Control

  • Maintain inventory accuracy.
  • Perform routine cycle counts.
  • Research inventory variances.
  • Monitor damaged inventory.
  • Recommend process improvements to minimize inventory loss.

Customer Service & Communication

  • Work closely with Lisa and the office staff regarding customer orders and warehouse activities.
  • Communicate receiving discrepancies immediately.
  • Coordinate inbound appointments and outbound shipments.
  • Provide shipment status updates.
  • Respond promptly to warehouse-related customer inquiries.
  • Support onboarding of new 3PL customers.

Operational Support

  • Assist with warehouse billing by ensuring services are properly documented (receiving, storage, palletization, container unloading, labor, etc.).
  • Document value-added services such as labeling, repacking, palletizing, shrink wrapping, and special handling.
  • Maintain accurate warehouse records and operational logs.
  • Help develop and improve warehouse Standard Operating Procedures (SOPs).

Requirements

  • 3+ years of warehouse or 3PL experience.
  • Experience using Extensiv (formerly 3PL Warehouse Manager).
  • Experience using SAP.
  • Experience using ShipStation.
  • Forklift experience and certification preferred.
  • Strong understanding of inventory control and warehouse best practices.
  • Experience with LTL, FTL, parcel, and ocean container operations.
  • Ability to work independently with minimal supervision.
  • Excellent communication and organizational skills.
  • Strong attention to detail.
  • Proficiency with Microsoft Excel and Microsoft Office., * Experience in a third-party logistics (3PL) warehouse.
  • Familiarity with barcode scanning systems.
  • Experience with UPS, FedEx, DHL, and common freight carriers.
  • Experience creating Bills of Lading and shipping documentation.
  • Bilingual (English/Spanish) preferred.

Physical Requirements

  • Ability to lift up to 50 pounds.
  • Ability to stand and walk for extended periods.
  • Ability to operate warehouse equipment safely.
  • Ability to work in a fast-paced warehouse environment.
