Job description

The IT Asset Inventory Field Coordinator will support a statewide IT asset inventory initiative led by the State Department. This role is responsible for conducting on-site physical inventories of IT assets across State-owned and leased facilities within an assigned geographic region., The coordinator will verify asset existence, location, and operational status using barcode scanning tools and maintain accurate records within a State-provided inventory database., Asset Inventory Execution

  • Travel across assigned geographic regions to perform physical inventories of IT equipment.
  • Coordinate and schedule site visits with facility contacts and agency representatives.
  • Identify, locate, and scan IT assets using State-provided barcode scanning equipment.
  • Verify asset data including:
  • Asset tag number
  • Device type
  • Physical location
  • Assigned user (if applicable)
  • Operational status
  • Upload and validate inventory data in the State inventory system.
  • Investigate and document discrepancies such as:
  • Missing or misplaced assets
  • Unidentified or duplicate assets
  • Incorrect asset records
  • Assets requiring further review
  • Maintain accurate inventory logs and progress records.

Project Coordination & Supervision

  • Plan and manage inventory schedules to ensure project timelines are met.
  • Provide day-to-day oversight and directions to temporary staff or interns.
  • Monitor inventory progress and escalate risks, delays, or resource gaps to the Project Manager.
  • Operate independently while maintaining regular communication with State stakeholders.

Reporting & Documentation

  • Submit regular deliverables including:
  • Weekly progress reports
  • Site completion reports
  • Discrepancy reports
  • Resource utilization updates
  • Prepare a final project summary covering:
  • Completed sites
  • Total assets inventoried
  • Outstanding issues
  • Recommendations for improvement

Requirements

· Minimum 2 years of experience in:

  • Physical inventory management

  • Asset tracking

  • Field operations or logistics

· Hands-on experience with IT hardware such as:

  • Desktops, laptops, monitors

  • Printers, network devices, servers

· Experience using:

  • Barcode scanners

  • Asset management or inventory systems

· Strong organizational, coordination, and problem-solving skills.

· Proven ability to work independently and manage multiple priorities.

· Experience supervising or coordinating temporary staff or project teams.

· Proficiency with Microsoft Office (Excel, Word, etc.) and data entry systems.

· Valid driver’s license and reliable personal vehicle.

· Ability to:

  • Travel extensively on a daily basis

  • Lift/move equipment up to 25 lbs

Preferred Qualifications

  • Prior experience with large-scale inventory or audit projects.
  • Familiarity with government or public sector environments.
  • Experience working in field-based IT support or asset lifecycle management.

Security & Compliance Requirements

  • Successful completion of:
  • State-required 10-print fingerprint background check
  • Criminal Justice Information Services (CJIS) background investigation
  • Adherence to State security, confidentiality, and data protection policies.
  • Willingness to sign non-disclosure and confidentiality agreements.

Benefits & conditions

$50 - $60 an hour - Contract
