Job description

Position Summary: SCV Counseling Marriage and Family Therapy Center Inc. is seeking a highly organized and detail-orientedData Entry & Compliance Officer to support our grant-funded programs. This position is responsible for ensuring the accuracy and integrity of program data, monitoring compliance with grant and contract requirements, measuring program outcomes, and providing ongoing quality improvement support to program staff. The ideal candidate will play a critical role in ensuring services are delivered in accordance with grant objectives by tracking participant progress, monitoring performance indicators, identifying trends, and collaborating with program staff to improve outcomes and overall program success.

Essential Duties and ResponsibilitiesData Management & Reporting

  • Enter participant, service, and program data accurately into electronic databases and grant management systems.
  • Maintain complete, organized, and confidential participant records.
  • Verify data accuracy and resolve discrepancies in a timely manner.
  • Generate weekly, monthly, quarterly, and annual reports for management and funding agencies.
  • Maintain databases and ensure data is current, complete, and audit-ready.

Grant Compliance

  • Serve as the primary compliance support staff for assigned grant-funded programs.
  • Monitor program activities to ensure compliance with grant requirements, funding guidelines, organizational policies, and contractual obligations.
  • Conduct routine quality assurance reviews of participant files and documentation.
  • Ensure required forms, assessments, case notes, attendance records, and supporting documents are completed accurately and submitted on time.
  • Maintain compliance checklists and notify program staff of missing or incomplete documentation.
  • Assist with grant audits, monitoring visits, and site reviews.

Program Outcomes & Quality Improvement

  • Monitor key performance indicators (KPIs), grant deliverables, and participant outcomes.
  • Analyze program data to identify trends, barriers, and opportunities for improvement.
  • Prepare outcome dashboards and performance reports for leadership and program staff.
  • Share outcome data with clinicians, case managers, and program staff to support data-driven decision making.
  • Collaborate with the Program Manager to develop strategies that improve participant engagement, retention, completion rates, and overall program success.
  • Assist in implementing corrective action plans when performance goals are not being met.

Client Follow-Up

  • Conduct follow-up calls, emails, and surveys with participants to monitor program progress and satisfaction.
  • Assist in scheduling follow-up appointments and collecting outcome assessments.
  • Track participant attendance, engagement, and completion milestones.
  • Document participant feedback and communicate concerns to the Program Manager and Case Manager.
  • Assist with participant retention and re-engagement efforts.

Administrative & Program Support

  • Support the Program Manager with grant reporting and administrative tasks.
  • Prepare compliance reports, data summaries, and presentation materials.
  • Assist with preparing documentation for funder site visits and monitoring reviews.
  • Coordinate collection of required documentation from program staff.
  • Participate in staff meetings and quality improvement initiatives.
  • Maintain organized electronic and physical filing systems.

Requirements

  • Associate’s or Bachelor’s degree in Business Administration, Public Administration, Healthcare Administration, Social Services, Psychology, Criminal Justice, Data Analytics, or a related field preferred.
  • Minimum of two years of experience in data entry, compliance, quality assurance, healthcare administration, nonprofit administration, or grant-funded programs.
  • Experience working with behavioral health, social services, nonprofit organizations, or government-funded programs is highly preferred.
  • Strong analytical skills with the ability to interpret data and identify trends.
  • Advanced proficiency in Microsoft Excel, Word, Google Workspace, and database management systems.
  • Excellent organizational skills and exceptional attention to detail.
  • Ability to manage multiple deadlines while maintaining accuracy.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and comply with HIPAA requirements.

Knowledge, Skills & Abilities

  • Knowledge of grant compliance and contract monitoring.
  • Experience tracking program outcomes and performance measures.
  • Strong data analysis and reporting skills.
  • Ability to identify compliance deficiencies and recommend corrective actions.
  • Excellent problem-solving and critical thinking skills.
  • Strong customer service and interpersonal skills.
  • Ability to work independently and collaboratively with multidisciplinary teams.
  • Experience preparing documentation for audits or monitoring visits is preferred., * Experience with grant-funded behavioral health, reentry, workforce development, or community-based programs.
  • Familiarity with Los Angeles County, state, or federally funded grants.
  • Experience using electronic health records (EHR), HMIS, Apricot, Efforts to Outcomes (ETO), or other case management databases.
  • Knowledge of continuous quality improvement (CQI) principles and performance measurement.
