Job description

Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for a Program Support Specialist for their Portland, Oregon location. In this role the Program Support Specialist I will provide comprehensive administrative and program coordination support within a fast-paced Information Technology and Cybersecurity environment. This role serves as a key liaison between leadership, cross-functional teams, and business partners, ensuring efficient day-to-day operations, effective communication, and support for governance, reporting, and organizational initiatives. The ideal candidate is highly organized, adaptable, and proactive, with exceptional attention to detail and the ability to manage multiple priorities while consistently meeting deadlines., * Provide comprehensive program and administrative support in a fast-paced IT/Cybersecurity environment, ensuring efficient daily operations and cross-functional coordination.

  • Support budget tracking, reporting, forecasting, cost management, and financial analysis while maintaining accurate records and compliance with established procedures.
  • Coordinate employee onboarding/offboarding, resource and equipment requests, training compliance, certifications, office logistics, and organizational communications.
  • Generate reports, dashboards, and performance metrics using financial, project, and operational systems to support leadership decision-making.
  • Administer and maintain SharePoint sites, document management standards, records retention, and organizational documentation.
  • Manage calendars, meetings, workshops, training sessions, travel arrangements, and special events, including logistics, agendas, meeting materials, and minutes.
  • Provide confidential administrative support, including correspondence, document preparation, records management, office operations, visitor coordination, and supply management.
  • Assist with timekeeping, personnel actions, interview coordination, performance review administration, and compliance tracking for employees and contractors.
  • Serve as a liaison between leadership, staff, vendors, and business partners while providing backup administrative support and contributing to process improvements and team initiatives.

Requirements

  • AA or BA in Business, Management, Accounting, Computer Science, or related field preferred; equivalent experience accepted (1+ year with Bachelor’s, 3+ years with Associate’s, or 5+ years without a related degree).
  • Intermediate proficiency with Microsoft Office (Teams, Excel, Word, Outlook, PowerPoint, Visio).
  • Intermediate SharePoint administration and content management.
  • Strong organization, communication, and multitasking skills with exceptional attention to detail.
  • A valid REAL ID and or US Passport required., * AA or BA in Business, Management, Accounting, Computer Science, or related field preferred; equivalent experience accepted (1+ year with Bachelor’s, 3+ years with Associate’s, or 5+ years without a related degree).
