Job description
We are seeking a highly organised and proactive Archive Administrator to oversee and maintain an organised, accurate, and secure archive system, ensuring records are stored, retrieved, and disposed of in line with company procedures and legal requirements at our Male Mental Health Rehabilitation Unit based in Warrington. This role involves ensuring the integrity, accessibility, and security of all stored records and materials. The successful candidate will play a vital part in supporting our organisational efficiency by implementing effective archiving procedures and fostering a culture of meticulous record-keeping.
This position is being advertised initially for a 12 month period, with the potential of this timeframe extending.
The successful applicant will be based largely at our Male Mental Health Rehabilitation Unit in Warrington. Across site working may be required at our other Mental Health Rehabilitation Units based in St Helens and Bacup.
Responsibilities
- Organise, catalogue, and maintain archived paper and electronic records.
- Retrieve archived documents promptly upon request.
- Accurately index and label files to ensure easy identification and traceability.
- Ensure all records are stored securely and confidentially in accordance with GDPR and company policies.
- Prepare documents for archiving, including sorting, scanning, and digitising where required.
- Monitor archive storage capacity and coordinate the transfer or disposal of records in line with retention schedules.
- Maintain archive databases and ensure records are kept up to date.
- Support audits and inspections by providing requested documentation.
- Liaise with internal departments regarding document requests and archive procedures.
- Identify opportunities to improve archive processes and efficiency.
- Ensure archive areas remain tidy, secure, and compliant with health and safety requirements.
- Carry out general administrative duties to support the wider administration team as required.
Requirements
- Excellent organisational and time management skills.
- Previous experience in an administrative, records management, or archiving role.
- High level of accuracy and attention to detail.
- Good IT skills, including Microsoft Office and electronic document management systems.
- Ability to manage confidential information with discretion.
- Strong communication and teamwork skills.
- Ability to prioritise workload and meet deadlines.
Experience (Desirable)
- Knowledge of GDPR, data protection, and document retention requirements.
- Experience using electronic document management or archive systems.
