Job description
As our Graduate Digital Systems Coordinator, youâll become the first point of contact for day-to-day technology and digital systems across the business. Youâll ensure staff have the equipment, access, training, and support they need while helping us continually improve our digital ways of working.
This is a varied role where no two days are the same. One day you may be setting up equipment for a new starter, the next creating staff guides, delivering training, troubleshooting technical issues, or helping to implement a new digital system., IT & Equipment
- Procure, configure, deploy and maintain laptops, mobile phones, printers and other IT equipment.
- Maintain an accurate register of all company hardware and software.
- Troubleshoot day-to-day IT issues and coordinate repairs where required.
- Support office networking and Wi-Fi across company sites.
Digital Systems Administration
Manage and support the organisationâs digital platforms, including:
- Google Workspace
- ClearCare
- Deputy
- Notion
- SignNow
- Jotform
- Ablyss
- B Squared
- Any future business systems introduced by the company.
Responsibilities include:
- Creating and managing user accounts.
- Managing passwords and access permissions.
- Maintaining licences and subscriptions.
- Supporting staff with system queries.
- Liaising with software providers when required.
Staff Support & Training
- Provide first-line support for all technology and digital systems.
- Produce simple, easy-to-follow user guides and âhow-toâ documents.
- Deliver induction and refresher training on company systems.
- Manage and support online learning platforms.
- Help colleagues become confident users of our digital systems.
Data & Information Management
- Administer Google Workspace.
- Maintain Google Drive and shared drive structures.
- Ensure files are organised, accessible and secure.
- Support good data management practices across the organisation.
Digital Projects
- Assist with the implementation of new software and digital initiatives.
- Support projects involving care planning, staff scheduling, supervision systems and other operational improvements.
- Identify opportunities to improve processes through technology.
- Help test and roll out new systems and updates.
Security & Compliance
- Support good cyber security practices throughout the organisation.
- Help ensure company systems remain secure and users follow best practice.
- Work with external IT providers where specialist support is required.

- Experience using Google Workspace.
- Experience supporting users with software or technology.
- Knowledge of cloud-based business applications.
- An understanding of cyber security best practice.
- Previous work experience, placement or internship in an IT or digital role.
