Job description

The Contract Lifecycle Management (CLM) team is entering an exciting phase of operational maturity. Following a comprehensive review of our core workflows, we are recruiting a Contract Data Controller to own, embed, and continuously optimise our newly refined end-to-end contract management processes within Workplace Services.

The successful candidate will play a pivotal role in ensuring these processes drive efficiency, reduce risk, and remain scalable. You will act as the team’s process champion, translating high-level process architecture into daily operational success, managing key stakeholder relationships, and ensuring compliance across the lifecycle.

The Contract Data Controller role is a pivotal position within the Workplace Service’s Contract Lifecycle Management (CLM) Team. Reporting to and supporting the management of contract delivery. The post holder will be one of the first points of contact for customers, suppliers and GPA stakeholders across the UK for any interactions managed through the CLM team.

Requirements

We are looking for a proactive, highly organised, and analytical professional who thrives in structured yet evolving environments. A self-starter, capable of working autonomously to drive processes forward, but possesses the interpersonal savvy to manage complex stakeholder relationships.

  • Autonomous & Self-Motivated: Comfortable taking full ownership of the digital platform, contract registers, and daily processes with minimal supervision.
  • Dynamic & Adaptable: As this team is newly formed and evolving, the ideal candidate must embrace ambiguity and welcome an expanding remit rather than fearing a change in scope.
  • Meticulous & Detail-Oriented: Attention to detail is critical, being able to accurately and consistently execute and oversee tasks, and identifying errors.
  • Assertive yet Diplomatic Communicator: Capable of leading reconciliation sessions and governance meetings. They can firmly hold external suppliers to account regarding documentation while maintaining collaborative, professional relationships.
  • Continuous Improvement Mindset: Possesses a “lean” outlook, someone who naturally identifies bottlenecks, asks “is there a better way to do this?” and proactively pitches practical solutions.
  • Must be willing and able to travel to deliver the duties and attend management meetings visiting sites not easily accessible by public transport.

Experience & Technical Skills

Essential criteria:

  • Government Commercial Function (GCF) – Contract Management Capability Programme (CMCP) Foundation Level or a willingness to work towards accreditation.
  • Strict attention to detail.
  • Digital Platform Proficiency. e.g., Experience with enterprise IWMS solutions (i.e. Planon, IBM TRIRIGA, or Archibus).

Desirable criteria:

  • Facilities management experience
  • Previous experience within the Civil Service or a wider public sector body is desirable, particularly an understanding of public commercial principles., * Project and Change Management (e.g., PRINCE2, AgilePM, APM), * Government Commercial Function (GCF) – Contract Management Capability Programme (CMCP) Foundation Level or a willingness to work towards accreditation., * Working Together
