Building Systems & Infrastructure Coordinator - State Program Administrator Senior

Join our Facilities Management team as a Facilities Programs Administrator and play a vital role in ensuring Minnesota Department of Health facilities operate safely, efficiently, and in compliance with all regulations. If you excel at managing complex projects, coordinating diverse stakeholders, and enhancing facility operations, this is your chance to make a meaningful impact., * Lead the administration and coordination of facility infrastructure programs, including maintenance, renovations, and capital projects, ensuring they are completed on time, within scope, and within budget.

• Oversee building systems operations by managing preventative maintenance, monitoring system performance, and ensuring operational reliability to support continuous facility functionality.
• Analyze space utilization and workplace operations, providing recommendations to optimize space, improve efficiency, and enhance workplace support services.
• Ensure all facilities meet applicable codes, safety standards, and regulatory requirements through regular assessments, inspections, and coordination with regulatory agencies.
• Develop and deliver comprehensive reports, presentations, and documentation to communicate program status, operational impacts, and project outcomes to stakeholders.

MDH relies heavily on grant funding, in addition to state appropriated dollars. As an agency, we continually monitor funding levels and navigate some degree of uncertainty to grant cycles and the impact of the grant funding on program priorities.

This position is currently funded and approved to be filled. While the position is funded, at this time, future funding is dependent on the continuation of our funding sources. The Minnesota Department of Health works proactively to sustain programs and maintain our workforce, to avoid reductions in force to the very best of our ability. In the event of a loss of funding resulting in a necessary workforce reduction, that process is governed by our collective bargaining agreements and compensation plans., Two (2) years of experience supporting facility operations, building systems, maintenance programs, construction projects, or related activities. This experience must also include at least three of the following:

• Supporting facility operations, including managing or coordinating building systems such as HVAC, electrical, plumbing, and building automation systems.
• Administering maintenance programs, including preventive maintenance, work order management, and infrastructure reliability initiatives.
• Conducting facility assessments, inspections, or audits to ensure compliance with building codes, safety standards, and regulatory requirements.
• Managing or supporting construction, renovation, or capital improvement projects within a facilities environment. Utilizing facility management software, computerized maintenance management systems (CMMS), or building management systems (BMS) to track, analyze, and report on operational data., * A voluntary confidential program that helps employees and their families with life challenges that may impact overall health, personal well-being, or job performance
• Common sources of stress can be addressed through the EAP: mental health, relationship challenges (personal and work), grief and loss, finances, and legal issues

• Demonstrating the ability to build and maintain collaborative relationships with facility staff, contractors, vendors, and internal teams.
• Managing competing priorities and multiple assignments efficiently in a fast-paced environment.
• Exhibiting strong communication skills to convey technical information clearly to both technical and non-technical audiences.

A related degree will substitute for experience as follows: Bachelor’s degree may substitute for one year of experience; associate degree may substitute for six months of experience., * Experience with building code compliance and regulatory inspections, including familiarity with local, state, and federal building and safety standards.

• Experience supporting or managing large-scale construction, renovation, or infrastructure upgrade projects within a facilities environment.
• Experience using advanced facility management software, such as ARCHIBUS, Maximo, or similar systems, for asset management, maintenance tracking, and reporting.
• Experience implementing sustainability initiatives, energy management, or environmental stewardship practices within facility operations.
• Experience supporting laboratory, clean rooms, controlled environments, or other specialized facilities with critical mechanical, electrical, HVAC and environmental systems to ensure operational reliability, regulatory compliance and continuity of operations., This position will occasionally need to access or work in/around tight spaces. Must be comfortable with accessing roofs/penthouses and must have the ability to climb ships ladders where necessary., This position requires successful completion of a background check and employment reference check.
