Job description

The Operating Unit at Baylor College of Medicine is seeking a Coordinator, Business Operations. Working in partnership with Texas Children’s Hospital, this position provides administrative and operational support to ensure the efficient day-to-day operations of the Operating Unit. Responsibilities include coordinating business operations, processing travel and expense reimbursements, overseeing supplemental payment processing, managing departmental email communications, supporting faculty and staff, and performing a variety of administrative and operational functions., * Administrative & Operational Support

  • Provides administrative and operational support to department leadership, faculty, and staff.
  • Processes biweekly supplemental payments for faculty and staff through the SuccessFactors system.
  • Manages and monitor the Operating Unit shared email mailboxes, ensuring timely responses and routing of requests.
  • Processes Sponsored Guest Access (SGA) terminations and ensure timely removal of system access.
  • Providescross-coverage for administrative functions within the Operating Unit to ensure continuity of business operations.
  • Prepares correspondence, presentations, and other business documents to support departmental operations.
  • Maintains departmental files, records, and documentation to ensure accuracy and compliance.
  • Travel & Expense Management
  • Coordinates domestic and international travel arrangements for faculty and staff using the Concur Travel Management System.
  • Prepares and submit travel and business expense reimbursements in accordance with BCM institutional policies and procedures.
  • Performs monthly Concur reconciliations to ensure all travel and expense transactions are processed accurately, completed in a timely manner, and any outstanding items are resolved.
  • Performs other job-related duties and special projects as assigned.

Requirements

  • High School diploma or GED.
  • Two years of relevant experience., * Bachelor’s Degree in a related field.
  • Excellent verbal and written communication, organizational, and time management skills.
  • Ability to communicate and interact effectively with leadership, faculty, staff, and external partners.
  • Strong attention to detail with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to maintain a high level of professionalism and build collaborative working relationships in a team environment.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

Work Authorization Requirement:

This position is not eligible for visa sponsorship. Candidates must be legally authorized to work in the United States at the time of application and throughout the duration of employment.
