Job description

Provides general office and customer service support for the county Mapping Department. Responsibilities include preparing documents, filing records, handling mail, maintaining supplies, and assisting the public. The position also supports staff by preparing and organizing requests related to property ownership updates., A. Reception and Customer Service

  • Greet and assist visitors in a professional and courteous manner, providing basic guidance as needed.
  • Answer incoming phone calls, provide basic property information, and direct callers to the appropriate staff or department.
  • Help customers and staff locate property information such as parcel numbers and map locations using computer systems and printed maps.

B. Clerical and Office Support

  • Retrieve records (deeds, maps, cards) from department files and other county offices as needed.
  • Search probate records for documents required by mapping staff.
  • Track office and printer/plotter supplies, complete supply orders, and update supply logs.
  • Prepare letters and mail-outs following department procedures.
  • Maintain production reports and update daily reporting records.
  • Review redemption documents and identify those requiring mapping department action.
  • Receive and review documents from other departments and complete any mapping-related actions required in accordance with department procedures.

C. Filing

  • Sort and file tax maps in the correct geographic order.
  • File property ownership documents and supporting materials according to department procedures.
  • Maintain organized filing systems and update inventories as needed.

D. Ownership and Record Update

  • Review change forms and deed recordings to identify required ownership or record updates.
  • Verify parcel ownership and research property details using department systems and public records.
  • Confirm referenced deeds and obtain copies as needed.
  • Complete necessary ownership updates as directed by mapping procedures.

Requirements

Successful applicants must pass a criminal background check and will be subject to a pre-employment physical., * High school diploma or equivalent.

  • Coursework in basic computer skills, office administration, business, records management, or related areas is preferred.
  • Encouraged to pursue and obtain Support Staff designation through the Alabama Property Tax Education and Certification Program to further their professional development.
  • Advancement from Support Technician I is based on job performance, experience, and job-related education or training.

Other Characteristics

  • Basic understanding of Alabama appraisal and mapping standards is helpful but not required.
  • Willingness to travel for training and attend workshops in and out of state.
  • Willingness to work occasional overtime or weekend hours as needed.
  • Willingness to work at any Baldwin County Revenue Commission office location as assigned.

Knowledge, Skills, and Abilities

  • Ability to communicate clearly, courteously, and effectively with the public and coworkers.
  • Basic math, reading, and writing skills, including the ability to understand property-related documents.
  • Accurate typing skills and ability to operate standard office equipment (computer, copier, plotter, calculator).
  • Ability to follow written and verbal instructions, stay organized, and maintain detailed records within established systems and procedures.
  • Basic computer skills, including Excel, Word, and the ability to learn and use department-specific software.
  • Ability to research records, identify issues, and work through tasks in a logical order.
  • Knowledge of filing systems and ability to maintain organized files.
  • Ability to read fine print on deeds, maps, and digital imagery.
  • Ability to follow and apply departmental rules, regulations, and procedures.
  • Ability to safely perform routine physical tasks in an office environment, including walking, standing, bending, navigating stairs, and lifting books, map files, or boxes
