Design Administrator

USIlluminations (USI) is looking for an organized, detail-oriented Design Administrator to support our design team. In this role, you’ll help keep projects on track by coordinating schedules, maintaining project documentation, communicating with clients and vendors, and providing administrative support throughout the design process.

Responsibilities

• Coordinate project schedules, meetings, and deadlines.
• Maintain project files, drawings, specifications, and documentation.
• Prepare proposals, presentations, reports, and other project materials.
• Coordinate with clients, vendors, contractors, and internal teams.
• Track project progress and update project management software.
• Assist with purchase orders, invoices, budgets, and expense tracking.
• Manage material samples, product information, and design assets.
• Ensure project documentation is accurate, organized, and up to date.
• Provide administrative support to the design team as needed.

• Associate’s degree, bachelor’s degree, or equivalent experience in Business Administration, Project Management, Interior Design, Architecture, Engineering, Construction Management, or a related field.
• Experience in administrative support, project coordination, office management, or a design-related environment.
• Basic knowledge of AutoCAD or Revit is preferred.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• High attention to detail and accuracy.
• Ability to manage multiple projects and deadlines.
• Strong problem-solving and customer service skills.

• Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Google Workspace
• Adobe Acrobat
• Adobe Creative Suite
• AutoCAD or Revit
• Monday.com, Asana, Trello, Microsoft Project, or Smartsheet, * AutoCAD: 1 year (Required)

Pay: $40,000.00 - $55,000.00 per year, * 401(k)
