Job description

The Digital Portfolio Analyst sits within Data Platform Services (DPS) as part of the Chief Digital and Information Officer group (CDIO). This role provides essential administrative and operational support to the DPS team, ensuring the smooth running of digital portfolio activities.

You will be responsible for maintaining records, updating trackers (Clarity & Jira), processing routine data, preparing standard reports, and supporting stakeholder communications. You will coordinate meetings, prepare agendas, take minutes, and assist with team logistics. Your work will enable managers and senior staff to focus on higher-level priorities by ensuring processes run efficiently and information is accurately recorded and shared.

Person specification

  • Act as the first point of contact for DPS Engagement.
  • Provide comprehensive administrative support, including maintaining records, updating trackers, and managing mailboxes.
  • Collate and input data, prepare standard reports, and ensure information is accurately recorded and shared.
  • Organising and facilitating meetings, including clinics and stakeholder calls, preparing agendas, taking minutes, and tracking actions
  • Supporting Small Changes coordination where DPS is Lead DG
  • Ensuring adherence to governance and continuous improvement of processes
  • Coordinating requests through the end-to-end impacting process
  • Respond to routine queries, support team communications, and assist with stakeholder engagement.
  • Support team logistics, including supporting Data Portfolio leads with ad-hoc queries, assisting SOs & G7s in meetings and note-taking.
  • Contribute to a positive team environment by supporting colleagues and sharing best practices.

Requirements

  • Minimum of 2 GCSEs (or equivalent) including English and Maths.
  • Experience using Microsoft 365 tools including Excel, Outlook and SharePoint
  • Strong written and verbal communication skills, with the ability to convey information clearly and effectively.
  • Demonstrated analytical and problem-solving capability
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong organisational skills, with the ability to accurately record information and adhere to service level agreements (SLAs).
  • Strong interpersonal skills, with the ability to build effective working relationships and establish trust quickly.
  • High attention to detail and a commitment to maintaining data quality and accuracy.
  • Ability to work under pressure in a dynamic, high-demand environment, responding effectively to changing priorities and tight timescales.
  • A proactive approach to learning, with a willingness to develop new skills and adapt to evolving requirements.

Desirable Criteria

  • Experience in an administrative or support role.
  • Experience working in a customer-facing role
  • Understanding of portfolio, project or impacting processes within a digital environment
  • Experience using Jira and/or Clarity (or similar tracking systems)
