Job description

projects for businesses nationwide. We’re looking for an IT Project Coordinator to own the

moving pieces behind every client project - schedules, people, vendors, and logistics -

from kickoff through completion.

This is a coordination and operational ownership role, not a hands-on technical one. Your job

is to make sure every onsite engagement is planned, resourced, communicated, and ready

before it happens, so projects finish on time and clients never feel a bump. If you love turning

complexity into a clean, predictable plan, this role was built for you.

What you’ll do:

  • Plan and manage schedules for internal and contract technicians across multiple concurrent projects

  • Arrange project staffing, travel, and logistics for onsite work

  • Confirm site access, equipment, and stakeholder availability ahead of every engagement so nothing is discovered missing after arrival

  • Serve as the go-to contact for scheduling questions and day-of escalations

  • Build and maintain a nationwide bench of vetted field contractors, assigning work based on skill, availability, and past performance

  • Manage structured cabling and infrastructure vendors from approval through verified, documented completion

  • Track third-party orders, installations, and service activations (internet, phone, hardware partners) and escalate risks before they hit project timelines

  • Run pre-engagement readiness checks and close any gaps before a technician is dispatched

Requirements

  • 3+ years in project coordination, operations, logistics, vendor management, or a similar role

  • A track record of running multiple projects, schedules, and competing priorities at once without dropping details

  • Hands-on experience coordinating third-party vendors, contractors, or service providers

  • Clear, professional written and verbal communication

  • A proactive, ownership-driven approach - you spot risks early and resolve them before they reach the client

  • Comfort in a fast-moving environment where priorities shift

  • Proficiency with Microsoft 365 (Outlook, Teams, Excel, SharePoint)

  • The ability to work independently while staying fully accountable for outcomes

Nice to have:

  • Experience coordinating field technicians, construction trades, or cabling vendors

  • Familiarity with Field Nation or similar contractor management platforms

  • Exposure to internet service providers, telecom vendors, or technology rollouts

  • Background in an MSP, IT services, or technology-focused organization

  • Working knowledge of project management methodologies and tools

  • Experience arranging travel and coordinating multi-site projects

You’ll thrive here if you are:

  • Highly organized and process-driven - you bring order to moving pieces

  • Naturally proactive rather than reactive

  • Comfortable holding vendors and contractors to their commitments

  • Calm under pressure with multiple deadlines in play

  • Focused on execution and follow-through, every time
