About the Agency : The Idaho Division of Career Technical Education (IDCTE) provides administration, leadership, and coordination for secondary and post-secondary programs in career technical education (CTE) across the state of Idaho. With a customer-service focus, the Division leads Idaho’s efforts to prepare youth and adults for high-skill, in-demand careers., Summary: The Technical Records Specialist 2 supports the Strategic Initiatives and Innovation team by providing technical records management, program support, system documentation, customer service, project coordination support, and process improvement assistance. This position plays an important role in helping the Division maintain accurate records, support agency systems, document procedures, assist with implementation activities, and keep operational work organized and moving forward., Project and Operational Support

Provide operational support for Strategic Initiatives and Innovation team activities.

Support agency processes, system updates, and operational initiatives through documentation, tracking, and information management.

Maintain files, tracking tools, notes, and supporting documentation for projects and initiatives.
-
Maintain procedures, guides, checklists, and other operational resources.
-
Compile information and prepare reports, summaries, correspondence, and supporting materials.
Customer Service and Communication
-
Respond to inquiries from staff, educators, administrators, and stakeholders.
-
Provide information and assistance related to records, systems, processes, and requirements.
-
Draft, edit, proofread, and distribute correspondence and supporting documents.
-
Support trainings, meetings, and agency communication efforts.
Technical Records Management
-
Maintain accurate electronic and physical records in accordance with agency requirements.
-
Review, validate, and update records to ensure accuracy and completeness.
-
Support records retention, archiving, and file management activities.
-
Research and resolve routine records discrepancies.
Platform and Technical Support
-
Maintain and update data within agency systems.
-
Process and verify records while maintaining confidentiality.
-
Provide routine technical support and troubleshoot user issues.
-
Assist users with system navigation, data entry, and platform-related questions.
Requirements
As a member of the Strategic Initiatives and Innovation team, this position will also have opportunities to participate in agency improvement efforts, technology adoption, system transitions, documentation projects, and initiative support. The ideal candidate will be highly organized, detail-oriented, and eager to learn, with a growth mindset, curiosity for how things work, and a proactive approach to identifying opportunities that improve efficiency, service, and operational effectiveness., + Experience monitoring record systems to identify and correct errors.

Typically gained by: Maintaining records, databases, tracking systems, or files and ensuring information is accurate, complete, and up to date.

Experience interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs.

Typically gained by: Applying program rules, policies, procedures, or requirements and explaining them to staff, customers, or stakeholders.

Experience analyzing information and researching a variety of sources to identify and resolve problems or issues dealing with individuals from varying cultural and socio-economic backgrounds in stressful situations.

Typically gained by: Researching questions, reviewing records or documentation, and resolving discrepancies using information from multiple sources.

Experience entering and retrieving data using a computerized record system.

Typically gained by: Entering, maintaining, retrieving, and verifying information in databases, spreadsheets, record systems, or similar applications.

Experience composing and proofreading business correspondence.

Typically gained by: Drafting, editing, proofreading, and formatting professional correspondence, reports, procedures, or other business documents.
Preferred Qualifications:

Experience identifying and implementing process improvements, technology solutions, or innovative approaches that improve efficiency, accuracy, or service delivery.

Experience working with education data systems, records systems, or communication platforms.

Experience with SkillStack® or similar digital credentialing platforms.
-
Experience with workflow or project management tools such as Microsoft Planner, Smartsheet, Microsoft Lists, or similar systems.
-
Experience supporting digital platforms, including user support, troubleshooting, content maintenance, or data management.
-
Experience using technology tools and digital systems, including and not limited to Artificial Intelligence, to improve workflow efficiency, communication, or project management.

Knowledge of Idaho’s public education system, career technical education, or public-sector program administration.
