Job description

Newton Country Day School of the Sacred Heart (NCDS) seeks a tech savvy Auxiliary Business Manager to join the Business and Facilities Office, serving as a trusted resource for our students, their families and other community members. Reporting to the Chief Financial Officer (CFO), the position collaborates with the Facilities Director, Athletics Director, and other department heads on auxiliary-related matters.

The Auxiliary Business & Systems Manager oversees the business operations, financial administration, and technology systems that support the school’s auxiliary programs and business office. This position manages the operational and financial functions of revenue-generating programs, including extended day, summer programs, facility rentals, transportation, and other auxiliary services, while serving as the administrator for key business systems. Working collaboratively across departments, this role improves operational efficiency, ensures data integrity, and delivers exceptional service to students, families, faculty, staff, and community partners.

Business Operations & Systems

  • In partnership with our Network Manager:
  • Serve as the administrator for all business applications and operational systems.
  • Manage business system implementations and integrations
  • Build APIs and crosswalks that connect our various operating systems to the accounting system, such as our enrollment and advancement software
  • Manage the school’s non-tuition revenue collection process
  • Manage system configuration, user access, reporting, and ongoing system maintenance.
  • Ensure data accuracy, system integrity, and effective use of business technology.
  • Provide training and support to end users and assist with system enhancements and implementations.
  • Prepare reports and dashboards to support business decision-making.
  • Manage the business and systems functions related to our school spirit store
  • Manage daily operational processes and administrative functions to support organizational goals.
  • Coordinate business activities, monitor performance metrics, and support planning and budgeting efforts.
  • Develop and maintain operational procedures that promote efficiency and consistency.
  • Build and design custom reports within the accounting system
  • Manage the school’s COI process

Athletics & Auxiliary Revenue Support

  • Support the Athletic Director in the following:

  • Facility Rentals: Manage external facility rental agreements, inquiries, and calendar scheduling.
  • Payment Collection: Oversee billing, invoicing, and collections for all campus rentals.
  • Summer Programs: Identify new revenue streams through camp partnerships and after-school programs.
  • Schedules: Manage the school’s schedules related to athletic field and court use
  • Partner with the Athletics Department to confirm transportation for practice and games

  • Recruit, design, and manage auxiliary rental opportunities

Facilities & Transportation Support

  • Provide systems support for the facilities work order system
  • Coordinate transportation routes, schedules, and manage compliance with external bus vendor and internal vehicles for student transportation, including vehicle registrations
  • Partner with Facilities Manager in the managing of vendors & finances related to dining, custodial, and event support services

  • Review service agreements and reconcile monthly billing statements
  • Audit vendor performance regularly against contract service level agreements (SLAs).

  • Periodically provide event and facilities-related support
  • Manage vehicle registrations and insurance requirements
  • Assist the Director of Facilities in gathering bids from vendors
  • Manage purchasing for facilities and IT, including purchasing card reconciliations
  • Assist the Director of Facilities in tracking construction in process

Process Improvement and Projects

  • Lead or participate in projects that improve business processes, systems, and operational performance.
  • Identify opportunities for automation, standardization, and continuous improvement.
  • Coordinate cross-functional initiatives and support organizational change efforts.
  • Participate on the School’s safety committee

Requirements

  • Bachelor’s degree in Business Administration, Information Systems, Finance, Operations, or a related field preferred. Equivalent experience may be considered.

Experience

  • Three to five years of experience in business operations, systems administration, project management, or a related field.
  • Experience in supporting enterprise business systems

Knowledge, Skills, and Abilities

  • Strong understanding of business operations, systems, and process improvement.
  • Experience building or managing APIs and accounting systems
  • Experience administering and implementing business systems and generating operational reports.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent communication and relationship-building abilities.
  • Ability to manage multiple priorities while maintaining accuracy and confidentiality.
  • Proficiency with Microsoft Office and other business technology applications.
