Job description

Job Title: Client Application Coordinator Company: Senior Planning Employment Type: Full-Time In-Office

About Senior Planning

Senior Planning is dedicated to helping individuals and families navigate the long-term care planning process with confidence and clarity. We have been serving the Arizona seniors for almost 20 years. We work closely with clients at a critical time in their lives, and our team takes pride in providing attentive, expert guidance every step of the way.

About the Role

We are looking for a motivated, detail-oriented Client Application Coordinator to join our team. This role sits at the intersection of client support/troubleshooting and long-term care application processing - making you an essential partner to our management team and a trusted point of contact for our clients.

In this position, you’ll receive focused daily direction and then run with it - handling client correspondence, resolving application issues, and moving cases forward with guidance and supervision. The ideal candidate turns a brief morning conversation into a full day of meaningful, productive client service. You’ll also work with the processing team to provide organization and troubleshooting within the division, reviewing cases and providing action plans to other team members.

What You’ll Do

  • Receive daily priorities and direction from management and execute independently
  • Communicate with clients via phone and email to answer questions, gather documentation, and provide status updates
  • Process and track long-term care applications from intake through completion
  • Identify and resolve issues or delays in the application process, escalating when appropriate
  • Maintain organized, accurate client files and case notes
  • Draft and send client correspondence
  • Coordinate with third parties such as insurance carriers, care facilities, and government agencies as needed
  • Support general administrative functions of the office
  • Assist with general organization and direction within the division on Medicaid applications

Requirements

Do you have experience in Word processing?, * Strong written and verbal communication skills - you’re comfortable talking with seniors and their families during a stressful time

  • Highly organized with excellent attention to detail
  • Self-starter who can take brief direction and work independently to see tasks through
  • Comfortable managing multiple cases and priorities simultaneously
  • Prior experience in insurance, healthcare administration, social services, or long-term care is a plus - but we’re willing to train the right person
  • Proficiency with standard office software (email, Word, spreadsheets, etc.)
  • Professional, empathetic, and patient demeanor
