Job description
The IT Asset Specialist is responsible for managing the full lifecycle of the organization’s technology assets - from procurement and deployment through maintenance, tracking, and secure disposal. This role ensures accurate inventory records, license compliance, and cost-effective use of hardware and software resources across the organization., * Maintain accurate, up-to-date records of all IT assets (hardware, software, peripherals, mobile devices) in an asset management system.
- Manage the full asset lifecycle: procurement, receiving, tagging, deployment, maintenance, redeployment, and retirement/disposal.
- Track software licenses and subscriptions to ensure compliance and avoid over- or under-licensing.
- Conduct regular physical audits and cycle counts to reconcile inventory records with actual assets.
- Coordinate with procurement and vendors to obtain quotes, place orders, and manage warranties and service contracts.
- Process new-hire equipment provisioning and employee offboarding/equipment recovery.
- Ensure secure data wiping and environmentally responsible disposal (e-waste/ITAD) of retired assets.
- Monitor asset costs and support budget planning by identifying refresh cycles and replacement needs.
- Generate reports on asset utilization, depreciation, warranty status, and compliance for management review.
- Support IT helpdesk with asset-related troubleshooting (device swaps, loaner equipment, repairs).
- Maintain documentation of asset policies, procedures, and standard configurations.
- Assist with software license audits and vendor compliance reviews.
- Ensure adherence to internal controls and regulatory requirements related to IT asset management., * Procurement coordination and purchase order tracking
- Asset tagging, deployment, and configuration
- Redeployment, refresh planning, and retirement/disposal (ITAD)
Inventory & Tracking Systems
- ITAM platforms: ServiceNow, Snipe-IT, Ivanti, Lansweeper, Asset Panda
- Barcode/RFID scanning and tagging systems
- CMDB (Configuration Management Database) maintenance
Software License Management
- License tracking and reconciliation
- Software Asset Management (SAM) tools
- Vendor audit preparation and compliance reporting
Financial & Reporting Skills
- Budgeting and cost tracking for hardware/software refresh cycles
- Depreciation tracking and total cost of ownership (TCO) analysis
- Reporting and dashboarding (Excel, Power BI, Tableau)
Procurement & Vendor Management
- Vendor relationship management and quote comparison
- Warranty and service contract tracking
- Purchase order and invoice reconciliation
Security & Compliance
- Secure data wiping and destruction standards (NIST 800-88, DoD 5220.22-M)
- Regulatory compliance (SOX, HIPAA, GDPR as applicable)
- Internal audit support and controls documentation
IT Operations Support
- New-hire provisioning and offboarding equipment recovery
- Helpdesk collaboration for device troubleshooting and loaner equipment
- Basic hardware diagnostics and imaging, * Regularly engage in sitting, standing, or walking activities.
- Occasionally handle lifting, carrying, pushing, or pulling items of varying weights.
- Perform reaching, kneeling, crouching, bending, or twisting motions as needed.
- Other physical requirements may arise depending on job tasks.
- Work may be conducted at a desk or workstation situated in confined areas.
- Experience moderate levels of noise indoors and outdoors.
- Flexibility to work overtime and occasional weekends as required.
- Ability to thrive in both team-oriented settings and independently, demonstrating self-motivation and initiative.

- Identify potential safety hazards and take appropriate corrective actions.
- Report accidents, injuries, and unsafe conditions in a timely manner.

Requirements
- Associates or Bachelor’s degree in Information Technology, Business, or related field (or equivalent experience).
- 2+ years of experience in IT asset management, inventory management, or IT operations.
- Familiarity with IT Asset Management (ITAM) tools (e.g., ServiceNow, Snipe-IT, Ivanti, Lansweeper).
- Understanding of hardware lifecycle management and basic software licensing models.
- Strong attention to detail and organizational skills.
- Proficiency with spreadsheets and reporting tools (Excel, Power BI, or similar).
- Ability to lift and move IT equipment as needed., * Certification in IT asset management (e.g., CITAM, CHAMP, CSAM)
- Experience with ITIL framework and IT service management practices
- Familiarity with procurement processes and vendor management
- Knowledge of data security and compliance requirements for asset disposal (e.g., NIST 800-88)
- Experience with barcode/RFID asset tracking systems, * Attention to detail and accuracy in recordkeeping
- Organizational and time-management skills
- Clear communication with vendors, employees, and management
- Process-driven mindset with ability to follow and improve procedures

- Certified Hardware Asset Management Professional (CHAMP) - IAITAM
- Certified Software Asset Manager (CSAM) - IAITAM
- ITIL Foundation Certification - Axelos/PeopleCert
- CompTIA ITF+ or A+ (foundational IT knowledge), * Have you used an IT Asset Management (ITAM), inventory, or configuration management system to maintain and track technology assets?
- Do you have experience using an ITAM/inventory management system?
