The Mitigation Job File Coordinator will work as a liaison for the customer to identify project requirements and specifications as well as administer and organize projects and support teammates. If you are self-motivated, organized and have outstanding customer service skills, you could thrive in this environment! Key Responsibilities

  • Maintain clear, professional, and timely communication with customers, insurance representatives, Project Managers, and other project stakeholders.
  • Monitor active mitigation projects daily, including job status, work-in-progress, documentation requirements, and outstanding action items.
  • Create and update preliminary estimates using industry-specific estimating software, subject to Project Manager review and approval.
  • Review job-site documentation for accuracy and completeness, including photographs, notes, forms, equipment records, moisture documentation, authorizations, and supporting documents.
  • Identify missing or incomplete documentation and follow up with Project Managers and field personnel.
  • Maintain accurate and current job information within the company’s project-management systems.
  • Assist with estimate submission, invoicing, payment follow-up, and insurance documentation.
  • Work closely with assigned Project Managers to ensure every job file is properly documented from initial intake through final billing and closure.
  • Provide customers with regular updates and help resolve routine questions or documentation requests.
  • Collaborate with accounting, production, reconstruction, and other departments as needed.
  • Maintain the confidentiality of customer, insurance, financial, and company information.
  • Perform other administrative and project-coordination duties as assigned., This is primarily a sedentary position performed in a fast-paced office environment. The employee must be able to work at a computer for extended periods, communicate by telephone and email, access electronic and physical job files, and occasionally lift or move office materials. Filing may require bending, standing, and opening file cabinets.

Requirements

  • High school diploma or GED required.
  • At least one year of customer service, administrative, project-coordination, or office experience preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize responsibilities and manage multiple active files and deadlines.
  • Strong follow-through and ability to work effectively with limited supervision.
  • Proficiency with computers, email, Microsoft Office, and web-based business applications.
  • Experience with insurance claims, restoration, construction, property management, or estimating software is helpful but not required.
  • Ability to learn company systems, procedures, and industry terminology.
