Job description

The People & Systems Manager is the person behind the people - making sure the team that grows, sells, cooks, and leads across Wilson Plant Co. and Sage Garden Cafe have what they need to actually do the work, and making sure the systems running underneath all of it don’t fall over. This role blends full-cycle Human Resources (recruiting, hiring, benefits, performance, and everything in between) and the technology and systems that keep a multi-location, multi-department small business running smoothly.

Role Responsibilities

Recruiting, Hiring, & Onboarding

  • Manages the full hiring process from posting positions through interviewing, references, offers, and onboarding paperwork across all departments and locations.
  • Coordinates communication with candidates throughout the hiring process, ensuring no one is left wondering where things stand.
  • Partners with department managers and ownership to understand staffing needs and identify the right fit for each role.
  • Owns new-hire onboarding from paperwork through system setup, making sure every employee knows what they need to know on day one.
  • Ensures new employees are properly entered into Paycom and all other required systems.

Employee Performance, Communication, and Cross-Department Support

  • Serves as the primary point of contact for employees navigating questions about policy, pay, benefits, and general employment matters.
  • Maintains regular communication with employees and managers to understand how things are going and catch problems early.
  • Supports ownership and department managers through performance conversations, compensation decisions, disciplinary matters, and terminations.
  • Maintains accurate, organized, and appropriately confidential employee records and personnel information.
  • Bridges ownership, department managers, and employees, making sure information moves clearly in every direction.

Benefits & 401(k) Administration

  • Serves as the primary point of contact with the health insurance brokerage, coordinating additions, removals, qualifying life events, and plan changes.
  • Prepares the annual employee census and supports plan selection during benefits renewal in coordination with ownership.
  • Coordinates with the 401(k) provider on plan administration, annual compliance questionnaires, and payroll data uploads.
  • Communicates benefits and retirement plan information to employees clearly enough that they actually understand their options.

Technology & Systems Management

  • Manages relationships with technology vendors, including point-of-sale systems (Epicor, Toast), VOIP phones, and networking infrastructure.
  • Serves as the first point of contact when hardware, software, or connectivity issues arise, and leads troubleshooting until resolved.
  • Manages company computers, phones, and other hardware, including an annual plan for what needs replacing and what’s worth the investment.
  • Builds and maintains internal tools and lightweight applications that make day-to-day work faster and more reliable.
  • Evaluates and recommends the platforms that run the business - POS, HRIS, CRMs, ERPs, and all the other acronyms + the integrations that connect them.

Requirements

  • Previous experience in HR, business operations, office management, or a related generalist role preferred.
  • Comfort learning and managing technology systems - point-of-sale platforms, networking basics, business software - without needing a formal IT background.
  • Experience with payroll/HRIS systems (Paycom or similar) and benefits or retirement plan administration is a plus, not a requirement.
  • Strong written and verbal communication skills, with the ability to explain complicated things - benefits, systems, decisions - in plain language.
  • Highly organized, self-directed, and comfortable holding a dozen open threads without needing to be reminded of what’s next.
  • Discreet and trustworthy with sensitive employee and company information.
  • A legitimate problem-solver: when something’s unfamiliar, the instinct is to figure it out, not wait for someone else to.
  • Bachelor’s degree in HR, business, or a related field is helpful but not required in place of real experience and good judgment.
