Job description

The IT Manager is responsible for the day-to-day management, security, and support of Eagan Immigration’s IT systems and infrastructure, including virtual desktop servers, backups, security, and end-user devices. This role brings in-house the systems management, monitoring, help desk, and vendor coordination functions previously provided by our managed services provider, ensuring reliable, secure, and well-documented technology operations across the company.

The IT Manager partners closely with the COO and other leaders to keep the firm’s environment running smoothly, troubleshoot issues quickly, and plan for the company’s continued growth. This role does not include management of the company website, which is supported by a separate vendor.

Eagan Immigration is a US-based law firm dedicated to helping our clients explore their immigration options, create a plan for their case and obtain the immigration benefit for which they qualify. We care about our clients and their families and aim to support them at each stage of their immigration journey.

Responsibilities:

Systems & Network Management

  • Manage and administer company virtual desktop servers and overall IT infrastructure
  • Monitor overall IT infrastructure
  • Schedule and perform off-hours system maintenance and install supported software upgrades
  • Design, implement, and maintain logical directory structures, security groups, and file permissions
  • Maintain office connectivity to the Internet; monitor performance and plan for capacity needs
  • Manage network printers, desktops, laptops, smartphones, and other networked devices

Security & Backup

  • Maintain a currently licensed, vendor-supported antivirus solution across all servers, desktops, laptops, and email; confirm antivirus and antispyware updates occur
  • Monitor for unusual account or user activity and alert to dangerous conditions (low memory, failing drives, low disk space, controller or network errors)
  • Lead disaster recovery efforts for critical systems
  • Maintain a vendor-supported hardware firewall between the internal network and the Internet
  • Ensure all wireless data traffic is securely encrypted

User & Application Support

  • Set up, manage, and offboard user accounts, including login restrictions, passwords, security groups, and application access
  • Manage user and mailbox setup and administration
  • Educate and correct user errors (deleted or corrupted files, etc.) and troubleshoot day-to-day technology issues
  • Ensure Microsoft Office, Adobe Acrobat, backup applications, line-of-business applications, and cloud applications are functioning as designed

Vendor Management, Compliance & Reporting

  • Serve as the primary point of contact for hardware, software, and secondary point of contact for telecommunications vendors, including managing vendor support contracts and costs
  • Ensure all virtual desktops and laptops meet minimum standards (supported, currently patched operating systems; genuine, licensed, and vendor-supported software)
  • Document all software and hardware changes and maintain accurate IT asset records
  • Provide monthly reports on work accomplished, work in progress, and overall system health
  • Respond to and resolve help desk requests/trouble tickets within established priority response and escalation targets, escalating to third-party vendors when needed
  • Manage Letters of Authorization (LOAs) and coordinate directly with vendors on the company’s behalf when issues cannot be resolved internally
  • Other tasks and projects as assigned

Requirements

  • At least 3-5 years of experience in IT systems administration or IT management, experience administering Azure and Cloud environments, or equivalent experience
  • Experience administering email security, antivirus/security tools and firewalls
  • Strong vendor management skills and experience coordinating third-party technical support
  • Spanish speaking, preferred
  • Excellent verbal and written communication skills
  • Ability to work independently, manage competing priorities, and adapt in a fast-paced environment
  • Willingness to adhere to the company values of compassion, innovation, communication and commitment.
