Customer Operations & Data Specialist

OL Products Inc is seeking a customer operations and data specialist to serve as the connective tissue between our customers and our internal billing and data teams. You’ll be the go-to person for resolving customer inquiries tied to orders, invoices, and account status - while also supporting the accuracy and integrity of the data that drives our business. This role is ideal for someone equally comfortable talking to a customer and diving into a spreadsheet, with a curiosity for leveraging modern tools to work smarter.

What you’ll do

• Act as a point of contact for customer inquiries related to orders, billing discrepancies, and invoice status

• Research and resolve invoice disputes by pulling and cross-referencing data in NetSuite and Excel

• Process customer orders and ensure accurate data entry and invoice generation in NetSuite

• Monitor accounts receivable aging reports and follow up with customers on outstanding balances

• Maintain and audit customer account records to ensure data accuracy across systems

• Build and update Excel-based reports to track order activity, billing trends, and exceptions

• Use Google Analytics data to support reporting on customer activity and operational performance

• Leverage AI tools to improve efficiency in data processing, communications, and reporting tasks

• Support process documentation and identify opportunities to streamline customer-facing billing operations

Do you have experience in Research?, Do you have a Associate’s degree?, * 2+ years in a customer-facing operations, billing, or data coordination role

• Working knowledge of NetSuite or a comparable ERP system (invoicing, AR, order management)

• Proficiency in Excel - pivot tables, VLOOKUP/XLOOKUP, data validation, and basic formulas

• Strong communication skills - able to explain billing issues clearly to customers and colleagues

• High attention to detail with a knack for spotting data discrepancies

• Comfortable managing multiple open issues and prioritizing effectively

Nice to have

• Familiarity with AI tools (ChatGPT, Claude, Copilot, or similar) for productivity and data tasks

• Experience with Google Analytics and/or Coupa - reading reports, interpreting traffic and behavior data

• Experience in a product distribution, manufacturing, or wholesale environment

• Familiarity with NetSuite SuiteAnalytics or saved searches

• Associate’s or Bachelor’s degree in business, accounting, or a related field
