The Temporary Document Solutions Assistant provides hands-on operational and administrative support to the Customer Engagement Solutions (CES) team on a temporary basis.
The Customer Engagement Solutions team is dedicated to providing platforms for APU to interact with its customers, to improve their experience, and to accurately track that engagement. This position supports that mission in two ways: by keeping the document scanning and indexing pipeline moving at a consistently high level of quality, and by carrying the department’s purchasing paperwork through the full procurement cycle so that technical staff can stay focused on service delivery.
The role works under the direction of the Electronic Documents Manager. It does not carry supervisory authority, hiring responsibility, or product ownership however, the incumbent will work alongside student scanning operators and may serve as a day-to-day point of contact for routine questions, escalating anything beyond routine to the Electronic Documents Manager.
This is a temporary, part-time role averaging 20-29 hours per week., * Provides excellent customer service to the IT team, the APU community, and external vendors and partners.
- Maintains confidentiality and exercises discretion with all documents, records, and financial information handled.
- Maintains clear task documentation and status tracking for all assigned work.
- Communicates progress, blockers, and exceptions promptly to the Electronic Documents Manager.
- Performs other tasks as assigned by supervisor.
Document Solutions
- Scans documents into the University repository at the highest achievable image quality.
- Indexes each assigned service with a high degree of accuracy and self-proofs all data entered.
- Prepares and reassembles physical documents for scanning handles boxes, files, and batches.
- Performs quality-control review of batches completed by student scanning operators and flags rework.
- Assists with training and answering day-to-day questions from student scanning operators refers performance, scheduling, and personnel matters to the Electronic Documents Manager.
- Maintains and updates process documentation for recurring scanning services.
Requirements
- High school diploma or GED required.
- Some college coursework, associate’s degree, or current enrollment preferred., * Six months to one year of office, administrative, clerical, or data-entry experience relevant on-campus student employment counts toward this.
- Demonstrated accuracy and attention to detail in repetitive, deadline-driven work.
- Comfort learning new software applications with training.
- Prior exposure to document scanning/imaging systems, purchasing or accounts payable processes, or ERP/financial systems is helpful but not required - training will be provided.
- Higher education context preferred., * Strong attention to detail and accuracy in both data entry and financial paperwork
- Good organizational skills able to track many small open items to completion
- Ability to follow established procedures consistently and to recognize when a situation falls outside them
- Clear written and verbal communication with staff, students, and external vendors
- Ability to work independently on assigned tasks and successfully within a team
- General comfort with technology able to learn new applications quickly
- Ability to keep confidentiality with discretion and good judgment
- Ability to see areas of struggle and ask for assistance

Physical Demands
- Repetitive hand, arm, wrist, and finger motions at computer keyboard and scanning equipment
- Sitting and/or standing 5-6 hours per day
- Listening and speaking on the telephone
- Ability to climb stairs
- Ability to reach, grasp, pull, bend, and occasionally lift 30 lbs or more
Visual Demands
- Computer monitor use and reading for extended periods
- Adequate vision to make judgments concerning the overall quality of scanned output
Environment
- Pleasant office setting, comfortable temperature
- East Campus, Building 6
Technologies
- Google Workspace, Microsoft Office, and other cloud-based productivity tools
- Document management and imaging systems (e.g., Alfresco, Ephesoft) - training provided
- PeopleSoft Financials (PSFIN) for purchase requisitions - training provided
- Work management and ticketing tools such as Asana, JIRA, and Zendesk
Benefits & conditions
- Grade 5: $16.90 to $18.92 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
