Job description
This is a varied and busy role supporting the smooth running of the HR function and the compliance side of the business as well as part -time support in Finance. You’ll be involved in everything from onboarding new employees and maintaining records to coordinating recruitment, keeping our training, health & safety and ISO documentation up to date, and providing day-to-day administrative support across the business. Around one day a week will be spent supporting the finance team.
We’re looking for someone who enjoys being organised, takes pride in delivering high-quality administrative support and is confident building positive working relationships with colleagues at all levels.
This is an excellent opportunity for an experienced Administrator, or someone with exposure to HR or compliance administration, who is looking for a broader and more varied support role in a business that is growing quickly., Employee administration
- Maintain accurate employee records and documentation across internal systems
- Coordinate onboarding and induction activities for new starters
- Carry out right-to-work checks and keep pre-employment records complete
- Support the appraisal and review cycle, issuing templates and tracking completion
Recruitment coordination
- Advertise vacancies and manage candidate communications
- Liaise with recruitment agencies where required
- Arrange interviews and prepare interview documentation
- Support the apprentice programme, including enrolment paperwork and liaison with training providers
Training and compliance
- Maintain the training matrix and competence records, tracking expiry dates for cards and certificates and booking refresher training for both directly employed staff and sub-contractors
- Coordinate internal and external training and monitor spend against the training budget
- Keep the compliance calendar up to date, tracking renewals for policies, insurances and accreditations
- Support the administration of our ISO management system: document control, audit scheduling, minute-taking and following up actions
- Help prepare accreditation renewals and client compliance packs, and collect sub-contractor insurances and competencies
Finance support (approximately one day per week)
- Capture and log supplier invoices onto the finance system accurately and on time
- Match invoices to purchase orders and query discrepancies with suppliers and project teams
- Provide general administrative support to the finance team as required
General administration
- Provide day-to-day administrative support to the Head of People & Culture, Directors and wider team
- Help coordinate company social events
- Draft, format and proofread letters, reports and internal communications
- Support office housekeeping standards and take on other reasonable duties as the business grows
Requirements
- Previous experience in an administrative or coordination role, ideally with some exposure to HR, compliance or finance administration
- Excellent organisational skills and strong attention to detail
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion and professionalism
- Proactive, positive and adaptable approach to work
- Strong Microsoft Office skills, including Word, Excel and Outlook
- Ability to manage multiple priorities and meet deadlines in a busy environment
- Experience within construction, renewables or another accredited sector, or of ISO systems, would be an advantage but is not essential, * Due to the location of the business, do you have a reliable means of transport to travel to the office?
- Do you have previous experience in an administrative or coordination role, with a background in HR, compliance or finance administration?
